Executive Assistant
Job Overview
We are looking for a talented Assistant to support our SVP of Sales, VP of Business Operations, and VP of Support, as well as assist the broader Sales organization. The majority of our Inside Sales Reps site here in the Boston office allowing you to foster strong relationships with most of Sales Leadership and representatives. The ideal candidate will thrive in a high-pressure environment where they are expected to manage complicated schedules, coordinate meetings, protect sensitive information and interact with all levels of the organization. Strong organization and communication skills, and teamwork are a must. The right candidate doesn't get frazzled easily, brings clarity to chaos, and genuinely thrives in making the person he/she supports more productive.
Essential Responsibilities
- Play "gatekeeper" role, creating "win-win" situations for direct access to the Executives' time, while actively managing tight schedules
- Complete a broad variety of other administrative tasks including prepping executives for interviewing candidates, meeting and greeting guests, creating meeting agendas and other projects
- Complete expense reports, accurately and on-time
- Arranging complex and detailed travel plans, itineraries and agendas
- Schedule and coordinate meetings
- Organize team off-site meetings, including planning team building and engaging activities
- Manage and coordinate third party vendors delivering services for the company
- Act as an ambassador both internally and externally, helping establish strong relationships and positive communication
- Proven organization skills including experience managing or organizing meetings
Job Requirements
- At least 3 years’ experience supporting executives
- Proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint), Adobe Acrobat, and social media web platforms
- High energy and good communication (people want to be around you)
- Strong organizational skills that reflect ability to prioritize and perform multiple tasks seamlessly with excellent attention to detail
- Ability to work in a collaborative environment
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, customers and other members of the executive team
- Expert verbal and written communication skills
- Demonstrated proactive approaches to problem-solving with strong decision-making capability
- Emotional maturity
- Highly resourceful team-player, with the ability to also be extremely effective independently
- Proven ability to handle confidential information with discretion
- Ability to meet deadlines in a fast-paced environment
