We’re seeking a Boston-based Executive Assistant to support a member of our C-suite. This role requires a highly resourceful professional who thrives in a fast-paced environment. The Executive Assistant will work closely with the executive, their leadership team, and key stakeholders across the organization to help drive priorities forward and ensure seamless day-to-day operations.
The ideal candidate is highly organized, proactive, and professional, with the ability to anticipate needs, exercise sound judgment, and manage competing priorities with discretion. Success in this role requires strong written and verbal communication skills, exceptional attention to detail, and the ability to balance multiple projects and tasks while supporting both executive and team priorities.
The Executive Assistant will handle a wide range of business activities and confidential matters while building strong relationships across the organization. The ability to work effectively under pressure, coordinate across teams, and adapt to changing priorities is essential. This individual will play an important role in supporting the executive and leadership team, helping to keep initiatives moving forward and ensuring day-to-day operations run smoothly.
This indivdual is required to be on-site in our vibrant Boston office five days a week, where they can take advantage of free parking, an on-site gym, a cafeteria, and other amenities that contribute to our collaborative culture and distinctive workplace experience.
Responsibilities- Manage and maintain a complex executive calendar, including scheduling meetings, resolving conflicts, and anticipating scheduling needs.
- Coordinate domestic and international travel arrangements, including itineraries, accommodations, transportation, and expense reporting.
- Support meeting and event logistics, including agenda preparation, materials coordination, meeting notes, and follow-up actions as needed.
- Partner closely with the executive's leadership team to coordinate priorities, communications, and key initiatives.
- Serve as a point of contact for internal and external stakeholders, helping ensure timely communication and follow-through.
- Manage confidential and sensitive information with the highest level of discretion and professionalism.
- Assist with presentations, reports, correspondence, and other business-related materials.
- Coordinate team activities, offsites, leadership meetings, and special events.
- Track action items and help ensure key deliverables and commitments remain on schedule.Support special projects and administrative needs as assigned.
- Bachelor's degree preferred, with 5-12 years of experience supporting senior leaders in an executive, administrative, or business support capacity.
- Demonstrated ability to manage multiple priorities in a fast-paced environment while maintaining exceptional attention to detail.
- Strong business acumen and understanding of organizational dynamics, executive-level priorities, and team operations.
- Advanced proficiency with Microsoft Office and other business applications, including Outlook, Word, Excel, PowerPoint, Teams, and internet-based research tools.
- Excellent written and verbal communication skills, with the ability to interact effectively and professionally with employees at all levels of the organization.
- Proven ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion.
- Highly organized, proactive, and resourceful, with the ability to work independently and anticipate needs with minimal direction.Strong relationship-building skills and the ability to collaborate effectively across teams and functions.
- Experience supporting leaders within construction, technology, professional services, or similarly fast-paced industries is helpful, but not required.Exposure to functions such as IT, Finance, Legal, or Human Resources is beneficial.
