The Workplace Coordinator is responsible for supporting the daily operations of the Waltham site by serving as the primary point of contact for reception, workplace requests, and on‑site activities. The role plays a key part in facilities administrative support, including service ticket management, vendor coordination, scheduling, onboarding, and maintaining accurate records to ensure a safe, efficient, and welcoming workplace.

This position reports to the Senior Facilities Manager and is part of the Workplace Team located in Waltham, MA, and will be an on-site full-time role.  

In this role, you will have the opportunity to:

  • Serve as the first point of contact for the Waltham headquarters, supporting daily reception operations, meetings, and on‑site events to create a welcoming and well‑run workplace.
  • Support Workplace operations by creating and tracking service tickets, coordinating vendor visits, and ensuring issues are resolved efficiently.
  • Play a key role in vendor management, including scheduling, onboarding, documentation, and record‑keeping to support compliant and reliable facilities operations.

The essential requirements of the job include:

  • High school diploma or equivalent and demonstrated experience in an administrative, reception, workplace, or facilities support role.
  • Strong organizational and communication skills, with the ability to manage multiple requests, coordinate with vendors, and maintain accurate records.
  • Proficiency with standard office tools (such as email, calendars, spreadsheets, and ticketing systems) and comfort working in an on‑site, customer‑facing environment.

Travel, Motor Vehicle Record & Physical/Environment Requirements: if applicable for role

  • Ability to lift 10-15lbs routinely throughout the work day as needed 
  • Ability to occasionally lift up to 50lbs as needed 
  • Ability to stand for long periods of time as work requires 

It would be a plus if you also possess previous experience in:

  • Administration support
  • Creating PowerPoint presentations and public speaking 
  • Organization of inventory, data, and information to streamline processes

The hourly range for this role is $23-$25 per hour. This is the range that we in good faith believe is the range of possible compensation for this role at the time of this posting. This range may be modified in the future. 

This job is also eligible for bonus/incentive pay.
