Partnering closely with Talent Acquisition Manager, hiring managers, and cross-functional stakeholders, this role will streamline the hiring processes and contribute to talent brand initiatives.

About the Position: The Talent Acquisition Coordinator provides end-to-end recruitment operations support and ensures seamless and engaging candidate experience by managing interview scheduling, facilitating onboarding logistics, and maintaining key HR systems. Partnering closely with Talent Acquisition Manager, hiring managers, and cross-functional stakeholders, this role will streamline the hiring processes and contribute to talent brand initiatives.
- Coordinates interview schedules (virtual and in-person) across multiple time zones for various hiring teams.
- Support Talent Acquisition Manager with posting job requisitions to the ATS and other external job boards then tracking and managing applicant flow.
- Supports Talent Acquisition Manager in with sourcing for new candidates and conducting pre-screening for hiring managers as assigned.
- Manage new hire travel and logistics, and provide timely updates and support to ensure a smooth onboarding experience
- Conduct background checks and initiate onboarding paperwork; communicate hiring updates to internal stakeholders.
- Deliver onboarding instructions and facilitate logistics for orientation, including travel and documentation.
- Maintain and update applicants and employee records across HR systems such as JazzHR, Paylocity, LinkedIn, etc.
- Ensure full completion of the hiring process: background screenings, new hire documentation, onboarding, orientation coordination, digital filing, etc.
- Prepares new hire packets for orientations and manages new hire desk set up. Ensure packet items are updated as information changes.
- Assembles and distributes initial new hire swag boxes.
- Assist with the design and distribution of internal and external recruitment marketing materials: flyers, social media posts, and digital promos
- Compile and distribute recruitment and hiring metrics reports to leadership.
- Manage and curate the online resume database, ensuring data accuracy and system integrity.
- Actively participate in recruiter training and mentorship, as well as self-directed learning on new tools and best practices.
- Research and recommend innovative talent acquisition strategies and market insights.
- Collaborates on special HR related projects as assigned by the V.P. of HR.
- Performs other related duties as assigned.
- High School diploma or equivalent.
- 1-2 years of experience in Talent Acquisition, Human Resources, or a related coordinator function.
- Proficient in Microsoft Office365 Suite and computer applications.
- Knowledge of Applicant Tracking (ATS) and Human Resource Information systems (HRIS) i.e. Paylocity.
- Attention to detail and organizational skills.
- Effective at managing time and multiple tasks concurrently.
- Ability to shift priorities as they change in fast paced environment.
- Ability to maintain a high level of confidential information with discretion.
- Resilience, adaptability, and a proactive problem-solving mindset.
- Flexible to vary tasks depending on the organization’s needs and structure.
