Our Boston office is home to around 50 Workable teammates, and we’re looking for an Office Manager to be the heartbeat of that space and the go-to person for the team. You’ll own the office end to end. And because you’re the only member of our People function on the ground in Boston, you’ll also be the local face of both: handling HR administration alongside our central People Operations team in Athens, and supporting Finance with the office budget, invoices, expenses, and payroll inputs for the US entity. It’s a role for someone who likes being at the center of things, works well independently, and takes satisfaction from making a place run properly.

Key responsibilities
  • Own the day-to-day running of the Boston office — facilities, supplies, vendors, and the overall experience of everyone who walks through the door.
  • Be the people person for the office: the first point of contact for any employee question, big or small, and the person who makes a growing office still feel like a team.
  • Serve as the local HR presence in Boston — onboarding logistics for new hires, employee records, benefits enrollment support, and first-line policy questions — handling day-to-day employee matters with discretion and knowing when to escalate.
  • Execute the People Operations processes our central team in Athens designs and owns: onboarding, time off, benefits administration, and the performance cycle. You make them land locally, and you tell Athens what isn’t working.
  • Own the Boston office budget: track spend against plan, flag variances, and feed into the annual budgeting cycle.
  • Process and code supplier invoices, route them for approval, administer the local expense process against policy, and liaise with our Finance team in Athens on billing and vendor payments.
  • Prepare and check monthly payroll inputs for the US entity, for Finance and People Operations to review and approve.
  • Support month-end close with local accruals, prepayments, and vendor documentation, and act as the local contact for our US tax and accounting team.
  • Manage relationships and contracts with vendors, service providers, and the landlord, and act as the local point of contact for health and safety, building access, and office compliance.
  • Plan and run team events, celebrations, and culture moments that keep the office feeling connected.
  • Support visiting leadership and the wider team with scheduling, travel coordination, and general assistance as needed.

Requirements

Required:

  • Bachelor's degree in Business, HR, Finance, or a related field.
  • 6+ years in office management, HR generalist or HR coordinator, or business operations roles — ideally a mix.
  • Demonstrated experience owning a budget.
  • Hands-on HR administration experience — onboarding, employee records, benefits, and time off.
  • Exposure to US payroll and benefits administration.
  • Eligible to work in the United States.
  • Familiarity with AI tools.

Preferred:

  • Experience working in a local office (roughly 30-75 people) that’s part of a larger global company, reporting into functions based in another country and time zone.
  • Experience with expense management, invoice processing, and working to a monthly close calendar.
  • Familiarity with an HRIS and with an accounts payable or accounting system.
  • Familiarity with Workable is a plus.
