Role Overview


The Workplace Operations Coordinator serves as the heartbeat of our workplace. As the first point of contact for employees, candidates, and visitors, the Workplace Operations Coordinator is the face of Wellframe, and critical to fostering our outstanding company culture. 


The Workplace Operations Coordinator is responsible for maintaining the day to day operations of the Wellframe office space, and (in close partnership with IT) ensuring a delightful workplace experience in a hybrid model with employees both working remotely and in the office. 


The Workplace Operations Coordinator sits within the People & Culture team and reports to the Senior Manager, People & Workplace Operations. Success in this role is demonstrated by flawless management of the office space and supporting our customers (our employees) by fostering a top-notch workplace experience. This is a fantastic opportunity for someone looking to break into an operations, facilities management, or HR role at a rapidly growing technology company.


Areas of Responsibility:

Office Management (60%)

  • Greet guests as they arrive and connect them with their host
  • Oversee the daily functions of the day to day management of the office space 
  • Order office and kitchen supplies and snacks/beverages 
  • Restock food and beverages in the kitchen and communal areas
  • Partner with IT to resolve AV and technology issues in conference rooms as needed
  • Assist with seat/space planning and coordination of desk/office moves
  • Create FedEx shipments and manage incoming and outgoing mail
  • Manage and coordinate with various vendors as well as building management
  • Develop a budget and cost analysis for office spending (supplies, catering, snacks, vendors, etc.)
  • Work with building management to submit work orders and visitor requests
  • Regularly clean appliances including (refrigerators, microwaves, toasters, coffee machines, tea kettles, etc.)
  • Regularly wipe down kitchen counters, tables, and communal spaces; ensure all surfaces and common areas are cleaned in accordance with COVID cleaning policies

Employee Experience & Events (30%)

  • Facilitate new hire office tours during New Hire Orientation
  • Manage set-up for Company All-Hands Meetings and Lunch-and-Learns
  • Schedule, order, and set up company Happy Hours and other cultural events
  • Plan and coordinate semi-annual corporate events 
  • Order swag and distribute to new hires and existing employees
  • Manage new hire desk set-up

People Operations Support (10%)

  • Support the People & Culture team in HR-related activities such as employee on-boarding, off-boarding, employee engagement, employer compliance, workplace safety, and internal communications

Education, Experience, & Skills Required:

  • Bachelor’s Degree (preferred) or equivalent experience 
  • Superior multitasking skills with the ability to manage multiple tasks or projects at once
  • Self-directed with a proven ability to operate with limited supervision 
  • Takes initiative on new tasks or projects independently
  • Comfort-level with ambiguity; ability to exercise good judgment when solving problems
  • Team-oriented with an appreciation for team success over personal gain
  • Experience with creating and maintaining a budget
  • Unwavering commitment to maintaining confidentiality
  • Exceptional communication and customer service skills
  • Maniacal attention to detail and excellent organization skills
  • Proven success working in a fast-paced environment
