The Facilities Specialist plays a key role in ensuring smooth operations within the office environment. This position involves setting up conference rooms according to requestor specifications, supporting loading dock activities, managing product inventory, and assisting team members with various tasks to maintain an efficient and organized workplace.
Key Responsibilities:
Executive Office Support
  • Ensure executive spaces are maintained to the highest standards of cleanliness and organization.
  • Monitor and reset furniture, stock refreshments, and maintain a welcoming environment.
  • Oversee specialty features and amenities within the executive area to ensure proper functionality.
  • Serve as a point of contact for executive-level support needs, addressing requests promptly and professionally.

Room Setup and Tear Down
  • Review event and meeting specifications to ensure accurate room setup.
  • Arrange furniture, equipment, and technology to meet requirements for meetings, presentations, and Town Halls.
  • Confirm spaces are clean, organized, and ready for use.

Loading Dock & Package Management
  • Receive, sort, and label incoming packages and shipments.
  • Prepare items for delivery or storage and assist with outgoing shipments to ensure timely dispatch.

Inventory Management
  • Track and reconcile office supply inventory using established systems.
  • Maintain organized storage areas and ensure accurate data entry for inventory records.

Delivery & Distribution
  • Deliver packages and shipments promptly to associates.
  • Coordinate with team members for efficient distribution and maintain a safe, clutter-free environment.

Team Collaboration
  • Partner with team members to support daily operations and special projects.
  • Assist with event coordination and other initiatives as needed.

Requirements:
Education:
  • High school diploma or equivalent required.
  • Technical or vocational training in facilities or logistics is a plus.

Experience:
  • 1-2 years in facilities support, warehouse operations, or a similar role preferred.
  • Familiarity with inventory systems and basic computer skills.
  • Experience handling packages and performing physical tasks safely.

Skills and Competencies:
  • Ability to follow detailed instructions and diagrams.
  • Strong organizational and time-management skills.
  • Physical ability to lift and move packages safely.
  • Excellent communication and teamwork skills.

Location: Needham, MA. In office 5 days a week.
Schedule: Monday-Friday 7:30am-4:00pm EST.
Salary and Other Compensation: The annual salary range for this position is displayed below. Factors which may affect starting pay within this range may include geography/market, skills, education, experience and other qualifications of the successful candidate.
