Position Summary:

This is an exciting opportunity for an experienced Executive Assistant to partner and support to two executives, the President and the COO of our Flagship Labs organization. The ideal candidate will leverage their broad range of skills with a high degree of professionalism and discretion in handling a wide variety of comprehensive responsibilities. They must be detail-oriented and have strong organizational skills to effectively independently manage administrative tasks. We require the ability to proactively build organizational knowledge and relationships and think critically and creatively to support problem-solving and ensure strong communication flow and follow-through. This person will be expected to work from our Cambridge office five (5) days a week.

Responsibilities:

Reporting into the Manager, Executive Administration, the Executive Assistant’s responsibilities include, but are not limited to:

  • Coordination of the President and the COO’s calendars for work related to the operational day-to-day activities of our ever changing, venture creation company.
  • Coordinate domestic and international travel plans including managing expense reporting and reimbursements.
  • Complete a broad range of in-office administrative tasks including but not limited to greeting guests, planning and coordinating events, ordering meals, shipping and receiving mail, and ordering office supplies.
  • Being involved with and prioritizing multiple projects through to completion.

Requirements:

  • Bachelor's degree required.
  • At least 7 – 10 years of experience providing administrative support to C-suite executives.
  • High level of commitment, availability and responsiveness outside core working hours including weekends as needed.
  • Comfort and readiness to work in a dynamic, demanding, and fast-paced environment.
  • Exceptionally organized with keen attention to detail with the ability to shift focus and priorities, when necessary, under pressure and within deadlines.
  • Outstanding verbal and written communication skills; strong ability to inform and engage through written communications.
  • Excellent interpersonal and relationship-building skills.
  • Professional, positive manner, with experience in a role requiring a high degree of discretion and confidentiality.
  • Excellent problem-solving skills and resourcefulness; ability to follow-through and close loops.
  • Strong work ethic and an entrepreneurial spirit to accommodate high level of responsibility and multiple priorities. Energetic, enthusiastic, can-do attitude, and interested in learning within a fast-paced, fast-growth organization.
  • Proficient in MS Office (Word and some PowerPoint) with Advanced Outlook organizational skills.

The salary range for this role is $120,000 - $145,000. Compensation for the role will depend on a number of factors, including a candidate’s qualifications, skills, competencies, and experience. Flagship Pioneering currently offers healthcare coverage, annual incentive program, retirement benefits and a broad range of other benefits. Compensation and benefits information is based on Flagship Pioneering's good faith estimate as of the date of publication and may be modified in the future.
