Executive Assistant / Office Manager
Location: This role requires 3-4 days a week on site in our Boston office
Reports to: Chief People Officer, dotted line to CEO
Pay range: $84k-$105K and 10% bonus

We provide experience-based security insights for Chief Information Security Officers and their teams. The core of our value comes from the IANS Faculty, a network of seasoned practitioners. We support client decisions and executive communications with Ask-an-Expert inquiries, our peer community, deployment-focused reports, tools and templates, and consulting.

Role Overview
IANS is seeking a highly capable, proactive Executive Assistant / Office Manager to support our CEO and to own the operations and experience of our Boston office. This high-visibility role blends executive support with operational leadership, providing a unique opportunity to contribute to the inner workings of a fast-growing company.
This role is a force multiplier for the CEO and a critical partner to the People function. The right person will have high visibility, trust, and impact — shaping both executive effectiveness and the day-to-day employee experience at IANS.
Responsibilities
CEO Support (50%)
- Provide high-level, proactive support to the CEO, including:
- Calendar management across internal, client, and Board priorities
- Anticipating needs based on the Company and Board calendar and staying ahead of planning and logistics
- Travel planning and coordination
- Expense management and follow-up
- Organizational and administrative support for client facing communications that require the utmost professionalism and attention to detail
- Plan and organize monthly internal company meetings, including logistics, materials, and coordination with presenters
- Coordinate agenda, logistics, and materials preparation for Board meetings, Management Team meetings, and offsites. Capture and circulate follow-up items to ensure progress and accountability.
- Serve as a trusted gatekeeper — managing priorities, anticipating needs, and ensuring the CEO’s time is spent on the highest-impact work
- Handle sensitive and confidential information with discretion and sound judgment
- Partner with IT, visual design, and others to ensure meetings and events are well-organized, polished, and reflective of IANS’ culture
Office Management & Employee Experience (40%)
- Own the day-to-day operations of IANS’ Boston office including vendors and catering, and ensuring a tidy and presentable office
- Manage visitor system and reserve internal and external meeting and conference rooms as needed for interviews and trainings.
- Partner with the People team on logistics for in-office new hire experiences
- Play a supporting role in planning and executing an upcoming office move, including coordination with vendors, leadership, and employees
- Support Employee Resource Groups with events and other initiatives to maintain a positive, organized, and high-energy office culture
Process Improvement & Special Projects (10%)
- Identify opportunities to improve executive support, office operations, and administrative processes
- Create systems and documentation that scale with company growth
- Support ad hoc projects for the CEO, Chief People Officer, and leadership team
Qualifications
- 3-5 years of experience as an Administrative or Executive Assistant, including demonstrated experience supporting senior executives with complex schedules and frequent travel
- Experience managing office operations highly desired
- Strong organizational skills and exceptional attention to detail
- Entrepreneurial mindset, grit, and willingness to “wear many hats.”
- High degree of professionalism, discretion, and emotional intelligence
- Strong sense of urgency and ability to anticipate needs, manage competing priorities, and operate independently
- Strong written and verbal communication skills
- Proficiency with Outlook, Word, Excel, PowerPoint including ability to structure PowerPoint agendas and decks.
- Proficiency with Zoom, Microsoft Teams and other collaboration tools.
- Familiarity with and interest in using AI to improve efficiency and productivity
- Experience with travel/expense tools such as Egencia and Nexonia
- Bachelor’s Degree preferred.
