Executive Assistant
Boston, MA (Hybrid)

Key Responsibilities

  • Manage the CEO’s and COO’s calendars and coordinate high volume scheduling with internal and external stakeholders
  • Compile and deliver all necessary materials (agendas, briefs, bios) at least 24 hours prior to every meeting
  • Monitor and filter email, flagging urgent items and drafting responses as needed
  • Coordinate domestic and international travel
  • Compile receipts and prepare expense reports in a timely manner
  • Develop relationships and work collaboratively across the organization
  • Provide operations assistance - manage access requests, time-off tracking, note taking, and other administrative processes 
  • Manage office logistics, coordinate with building management and vendors, provide support for critical in-person meetings (i.e., client meetings, board meetings, company-wide events) and provide Boston office management support as needed 

What We’re Looking For

  • 4+ years of experience supporting C-Suite or high-level executives 
  • Skilled in Google Workspace and AI tools related to productivity
  • Proven ability to handle confidential and sensitive information with integrity
  • Exceptional verbal/written communication and a “no task is too small” attitude
  • Strong ability to juggle multiple projects simultaneously without losing sight of the details
  • Anticipates needs, identifies solutions and takes initiative without waiting for direction
  • Collaborative approach - skilled at building relationships and an ability to work across a variety of work styles, roles and levels. 
  • Flexible and responsive, with a willingness to monitor and manage communications after business hours and on weekends as needed. 

Work Model/Office Location

  • This is a hybrid position requiring two days in the office per week
  • Eligible candidates must live commuting distance to 116 Huntington Ave, Boston, MA 02116
