We are seeking a seasoned and strategic Executive Assistant to support our Chief Executive Officer (CEO) and General Counsel, while also providing key administrative support to our Executive Chairman and Board of Directors. This is not a traditional administrative role—it is a high-impact, executive-level position that blends EA responsibilities with elements of chief of staff support, requiring strong business acumen, initiative, and exceptional communication skills.

Key Responsibilities:

 

Administrative & Strategic Support

  • Manage and optimize the CEO’s complex calendar, meetings, and international travel logistics.
  • Coordinate and manage board-related activities, including quarterly reviews, monthly updates, and approvals.
  • Prepare high-quality briefing materials, presentations, agendas, and reports for internal and external audiences.
  • Track action items and proactively follow up to ensure timely execution.
  • Handle expense reporting, invoicing, and other financial documentation as needed.

 

Communication & Relationship Management

  • Serve as the primary point of contact and liaison for the CEO with internal stakeholders and external partners.
  • Draft, review, and manage high-level executive communications, including emails, memos, and board correspondence.
  • Build and maintain strong, trusted relationships across executive leadership, the Board, customers, and vendors.
  • Act as a gatekeeper, ensuring the CEO's time is prioritized effectively.

 

Leadership Coordination & Event Planning

  • Plan and execute leadership offsites, confidential sessions, and strategic meetings.
  • Oversee all logistical components including agenda design, presenter coordination, travel, venue, catering, and post-event actions.
  • Organize and manage executive team meeting cadences, including agenda preparation, notetaking, and tracking follow-up actions.

 

Cross-Functional Project Support

  • Assist in driving strategic initiatives by tracking progress, identifying risks, and facilitating timely resolution.
  • Collaborate with senior leaders to move high-priority projects forward with minimal direction.
  • Serve as a sounding board and thought partner to the CEO, anticipating needs and proposing solutions proactively.

Required Experience & Skills

  • 10–15 years of experience supporting senior executives, including at least 5 years directly supporting a CEO.
  • Prior experience in a manufacturing, EMS, industrial, or operations-focused company strongly preferred.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), SharePoint, Teams, and Zoom.
  • Superior verbal and written communication skills with executive presence and discretion.
  • Proven ability to manage confidential and sensitive information with the utmost integrity.
  • Strong project management, time management, and multitasking abilities.
  • Comfortable managing a high volume of work in a fast-paced, entrepreneurial environment.

  • Highly polished, poised, and diplomatic professional with strong judgment and emotional intelligence.
  • Self-starter with a proactive mindset and the ability to operate with minimal oversight.
  • Comfortable interfacing with Board members and senior stakeholders.
  • Bachelor’s degree required; advanced degree or relevant continuing education a plus.
