Job Summary
This is a full-time temporary role, 40 hours / week and is expected to last 1 year with the AMC Dept of Psychiatry.Summary
Responsible for coordinating and monitoring multiple medium- to large-scale project activities, ensuring effective documentation management, workflow organization, and communication across teams to support successful project execution. Tracks project schedules, budgets, and task progress while maintaining accurate records and reporting. Analyzes data, prepares reports, and provides regular updates to stakeholders and project leadership. Identifies potential risks and issues, escalates concerns as appropriate, and recommends solutions to maintain operational efficiency. Provides guidance and support to administrative team members and contributes to continuous process improvement initiatives.
The Senior Project Coordinator supports day-to-day administrative and workforce operations, helping ensure efficient workflows and compliance with organizational and hospital policies. This role supports Postdoctoral Affairs activities, including HMS annual reporting, the MGB annual disclosure cycle, faculty and fellow annual career conference documentation, audits, reporting, and tracking processes. The position also assists with faculty and fellow lifecycle coordination, supports system-based processing and onboarding activities, and contributes to the smooth and effective operation of departmental programs and initiatives.
Qualifications
Essential Functions
Support day-to-day administrative and operational activities to ensure efficient workflows and compliance with hospital, organizational, and regulatory policies.
- Organize, attend, and participate in stakeholder and project meetings, documenting action items and follow-up activities as needed.
- Monitor project progress, identify risks and issues, escalate concerns appropriately, and recommend solutions to support successful project outcomes.
- Provide administrative support throughout the faculty and fellow onboarding lifecycle, including candidate tracking, HMS academic appointment submissions, and new hire documentation processing.
- Prepare routine reports, data analyses, and supporting documentation to assist with operational tracking, planning, audits, and postdoctoral-related processes and training materials.
- Coordinate and manage HMS annual reporting activities, the MGB annual disclosure cycle, and faculty and fellow annual career conference documentation.
- Coordinate schedules, communications, documentation, and internal workflows to support timely task completion and smooth daily operations across teams.
- Support process improvement initiatives through the development, testing, implementation, and evaluation of operational updates and workflow enhancements.
- Collaborate with cross-functional teams and stakeholders to support new procedures, tools, and system implementations, helping ensure effective adoption and operational continuity.
- Liaise with project teams and key stakeholders to help define project requirements, scope, objectives, and deliverables aligned with organizational goals.
- Assign, track, and monitor resources effectively to improve project efficiency, maintain timelines, and maximize deliverables.
Experience
Project management or project support experience 1-2 years required
Knowledge, Skills and Abilities
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent communication skills, both verbal and written, to interact with staff and
stakeholders.
- Analytical skills to assess operational processes and identify areas for improvement.
- Proficiency in Microsoft Office Suite and other relevant software tools.
