Job Description

Harvard Law School’s Office of the Dean seeks an Administrative Coordinator to perform a wide range of administrative duties requiring discretion, attention to detail, and the ability to work effectively as part of a team in a high profile, fast-paced environment.

As the Administrative Coordinator, you will: 

  • Support the day-to-day operations of the Dean’s Office by serving as a primary point of contact for phone, email, and in-person inquiries. Help foster a welcoming and professional office environment. 
  • Provide primary calendar and administrative support to one Dean’s Office principal and backup support to other Dean's Office principals, requiring coordination of competing scheduling priorities.  
  • Coordinate financial transactions for the Dean’s Office, including Concur reimbursements, B2P vendor invoices, and PCard and corporate card reconciliations, using Harvard's financial systems. 
  • Process incoming and outgoing mail and other routine office correspondence. 
  • Maintain administrative files and records and safeguard confidential information. 
  • Order and maintain office supplies and arrange for office equipment maintenance and servicing. 
  • Support Dean's Office meetings and events by coordinating assigned logistics, including room reservations, catering, audiovisual arrangements, meeting materials, and travel reimbursements. 
  • Assist with special projects and perform other duties as assigned. 

Qualifications

Basic Qualifications

3 or more years of experience in office administration or related field (business environment and/or customer service). Education beyond high school may count toward experience.

  • Demonstrated organizational skills and the ability to prioritize competing demands and meet deadlines.  
  • Sound judgment, initiative, and attention to detail.

  • Ability to handle sensitive situations with confidentiality, professionalism, tact, and diplomacy.  
  • Proficiency with Microsoft Office applications, including Word, PowerPoint, Excel, and Outlook. 

Additional Information

Standard Hours/Schedule: 40 hours per week; Full-time, M-F. Hours 8:30am-5:30pm preferred.

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
