The ASPIRE Administrative Coordinator helps keep the ASPIRE Program organized and running smoothly. This person supports the ASPIRE Program Director and team with daily administrative tasks, projects, meetings, events, communication, and reporting. The Administrative Coordinator must be organized, dependable, detail-oriented, and able to communicate well with staff, partners, and funding sources.

Job Responsibilities & Essential Functions

  • Help manage the ASPIRE Program Director’s calendar, including scheduling meetings, planning meetings, supporting program events, and coordinating other activities
  • Follow up on deadlines, tasks, and commitments to help keep work moving forward
  • Create and maintain simple systems to track tasks, projects, and program data
  • Coordinate program meetings and events, including calendar invites, communications, refreshments, agendas, meeting notes, action items, room setup, and support from CFS’s Marketing & Development Department when needed
  • Help create and send presentations, event flyers, and other written or digital materials for internal and external audiences
  • Complete general office tasks such as ordering supplies, greeting staff and visitors, booking speakers and venues, and ordering food or supplies for events
  • Help with other tasks or new projects as requested by the ASPIRE Program Director or ASPIRE team members

Travel Required

Must have a valid driver’s license and reliable transportation that meets CFS Driver Policy. Travel is required to provide services in different settings and to attend agency meetings, events, and trainings

Qualifications

Required Education, Experience & Competencies

  • High School Diploma required; Associate’s degree preferred
  • At least 3 years of experience in a similar administrative role
  • Strong organizational skills and ability to manage more than one project at a time
  • Pays close attention to details and accuracy
  • Comfortable using technology, including Microsoft Office programs
  • Motivated, dependable, and focused on doing quality work
