The Workplace Experience Manager is responsible for overseeing the day-to-day operations of our office, enhancing the employee experience, and maintaining a safe, productive, and engaging workplace. This role combines facilities management, employee engagement, and operational efficiency to create an environment that reflects our company culture and values. Ability to work 3 days per week in our Cambridge location and additional in-person days as required. 

Responsibilities

Facilities and Operations:

  • Ensure the office is clean, functional, and well-maintained.
  • Manage vendor relationships for cleaning, maintenance, and other essential services.
  • Oversee inventory and procurement of food, office supplies, furniture, and equipment.

Employee Experience:

  • Execute events
  • Act as the primary point of contact for employees in terms of office-related needs.


Travel Coordination:

  • Assist with travel plans for large group functions and international employees visiting the Cambridge office.
  • Negotiate rates with local hotels and other travel vendors to secure the best options.
  • Ensure a seamless travel experience by providing support and guidance.


Health, Safety, and Compliance:

  • Develop and implement workplace safety and emergency response plans.
  • Ensure compliance with health, safety, and accessibility regulations.
  • Conduct regular inspections and address safety concerns promptly.

 

Sustainability and Innovation:

  • Implement environmentally friendly initiatives, such as recycling programs.
  • Explore and integrate workplace technologies to improve operations and the employee experience.

 

Skills and Qualifications

  • Able to work 3 days per week in our Cambridge location and additional in-person days as required. 
  • 2+ years of experience in office management, facilities management, or a similar role.
  • Bachelor’s degree in Business Administration, Facilities Management, or a related field.
  • Excellent organizational, project and budget management skills.
  • Strong interpersonal and communication abilities.
  • Effective vendor negotiation experience.
  • Proficiency with Slack, Gmail, Google Sheets, Google Drive, Google Docs and facilities management tools and software..
  • Knowledge of building systems (HVAC, IT infrastructure) is a plus.
  • Able to work in the US without sponsorship.
