JOB SUMMARY

The Transfer Coordinator is a student-centered professional responsible for supporting the daily operations of the Registrar’s Office while leading transfer credit evaluation and coordination processes. This role serves as a primary point of contact for students, faculty, and staff, providing high-quality customer service and guidance on registration, academic records, and transfer pathways.

The position manages transfer credit evaluation for undergraduate and graduate students, supports new and continuing student registration processes, maintains the accuracy of degree audits, and collaborates across
departments to ensure a seamless academic experience. The role also contributes to system operations, data integrity, and cross-functional initiatives that support student success and institutional effectiveness.

ESSENTIAL JOB FUNCTIONS

  • Serve as a primary point of contact for the Registrar’s Office, assisting students, faculty, staff, and visitors in person, by phone, and via email

  • Provide front office triage, responding to inquiries related to registration, records, transfer credit, and academic policies

  • Promote a welcoming, inclusive, and student-centered environment

  • Communicate university policies and procedures clearly to diverse constituencies

  • Monitor and respond to shared inboxes, including [email protected] and [email protected]

  • Evaluate undergraduate and graduate transfer credit for prospective, admitted, and current students

  • Prepare and distribute Transfer Credit Evaluations outlining awarded credit and degree requirement fulfillment

  • Post transfer credits and establish course equivalencies in the student information system

  • Advise students on transfer pathways, degree progress, and academic requirements

  • Process Transfer Credit Petitions and study abroad credit, including transcript review and degree audit updates

  • Award AP, IB, and CLEP credits as applicable

  • Build and maintain transfer articulation tables and external equivalencies

  • Track transfer trends and support reporting efforts

  • Process registrations, add/drop forms, and enrollment updates

  • Support New Student Registration and orientation processes

  • Maintains the College of the Fenway (COF) cross-registration process

  • Maintain accuracy of student records and academic data

  • Collaborate with Technology to troubleshoot student information system and portal issues

  • Support data cleanup initiatives and ensure data integrity

  • Liaise with Student Financial Services to resolve discrepancies between academic and billing records

  • Perform periodic audits to identify and resolve duplicate or inconsistent records

  • Assist with office operations, including mail distribution and document management

  • Support special projects, reporting, and process improvement initiatives

  • Maintain Registrar’s Office website content and informational resources

OTHER DUTIES AND RESPONSIBILITIES

  • Perform additional responsibilities as assigned to support the evolving needs of the Registrar’s Office.

REQUIRED QUALIFICATIONS

  • Associate’s degree required (Bachelor’s degree preferred)

  • Strong organizational, analytical, and problem-solving skills

  • Demonstrated ability to work effectively with diverse populations

  • Excellent communication and customer service skills

PREFERRED QUALIFICATIONS

  • Experience with Workday Student preferred.

COMPETENCIES

  • Strong verbal and written communication skills.

  • Strong understanding of FERPA regulations and other academic policies. 

  • Ability to relate successfully to diverse students and proven experience in overseeing projects and activities.

  • Ability to use informational, assessment, and educational technologies to promote and support student access.

  • Strong skills in navigating complex, ambiguous, or sensitive situations.

WORK ENVIRONMENT & CONDITIONS/PHYSICAL DEMANDS

  • This position is hybrid-eligible, with a combination of on-site and remote work expected

  • Responsibilities are performed in a standard, office environment

  • Primarily involves remaining in a stationary position (sitting) for prolonged periods while working at a computer, keyboarding, and utilizing mouse/trackpad.

  • Occasionally required to lift, push, pull, or transport light to moderate objects, such as boxes of files or office supplies, typically weighing up to 20–30 pounds.

  • Requires sufficient manual dexterity to operate office equipment (keyboards, scanners, printers) and mobility to move around an office environment.

  • Occasional bending, stooping, stretching, and walking are required.

In accordance with applicable pay transparency laws effective October 29, 2025, Simmons University is committed to pay equity, transparency and clear communication throughout the hiring process. The hourly or annual salary range for this position is:

H05$18.80 - $30.48

This is benefits eligible position.
