Overview
Q2 is seeking a detail-oriented and proactive EBP and Event Coordinator to support both our Executive Briefing Program (EBP) and broader event marketing initiatives such as trade shows, conferences, and internal events. This dual role requires exceptional organizational skills, strong communication, and the ability to execute logistics flawlessly. The ideal candidate thrives in a fast-paced, client-facing environment and is committed to delivering premium, engaging experiences that reflect Q2's brand.
Responsibilities
Executive Briefing Program (50%)
- Coordinate logistics for executive briefings: transportation, catering, hotels, gifts, experiences, and restaurant reservations.
- Prepare briefing rooms with branded materials, printed collateral, AV setup, and refreshments.
- Handle hands-on tasks including catering pickups, food presentation, and hotel room drops.
- Maintain and update the BriefingSource system with briefing details and generate reports.
- Manage inventory of briefing materials, branded items, and kitchen supplies.
- Maintain the EBP calendar, schedule planning calls, and manage invites.
- Format, print, and prepare all briefing materials including agendas, name tents, and surveys.
- Process new requests and ensure timely communication with briefing managers.
Events and Trade Shows (50%)
- Support trade show and event selection, planning, logistics, reporting, and success measurement.
- Execute pre-, during-, and post-event logistics including scheduling, signage, event invitations, and lead capture processes.
- Collaborate with vendors, venues, and exhibit houses for booth setup and show services.
- Track event budgets, vendor payments, and manage marketing collateral and giveaways.
- Maintain and update the master event calendar.
- Collaborate with sales, solutions consulting, and marketing to align goals and engagement strategies.
- Travel as needed (up to 15%) to assist in onsite event execution, including setup and booth management.
- Upload leads to the campaign management system and support post-event reporting.
Requirements
- Bachelor’s degree in Marketing, Communications, or related field preferred.
- 2+ years of experience in events, marketing, hospitality, or project coordination.
- Proficient in Microsoft Office (Outlook, Word, PowerPoint, Excel).
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication skills; confident with executives and external partners.
- Flexible schedule with ability to work on-site for events (2–4 days/week, 4–6 hours/day).
- Must have reliable transportation for local deliveries and pickups.
- Experience with BriefingSource, Cvent, or Salesforce a plus.
