Based on-site at our Boston office, the Senior Administrative Assistant, Prescription provides a wide range of administrative and project management support to the VP & General Manager of US Prescription Medicine and other senior leaders in the business unit. This position is accountable for achieving objectives and completing tasks in a timely and effective manner, maintaining a professional working environment and demeanor, and demonstrating high integrity, accuracy, confidentiality, and accountability, while serving as a liaison for the department with other functional areas.

Key Responsibilities

  • Provide senior administrative support to GM, providing support, insights and coordination during team meetings, leadership forums and industry conferences.

  • Autonomously and professionally carries out administrative tasks and coordinates daily office functions in response to the operational requirements of the business and in support of the office of the GM Prescription Medicine.

  • Partners with GM to create framework for leadership meetings, managing agendas, structuring cadence of these meetings and identifying continuous improvement opportunities.

  • Drives the coordination and preparation of reports, presentations, and other communications. Liaises with leadership and management team members and managers to request and assemble information. Assists in formatting and proof reading of business documents, internal and external reports. q

  • Provides internal meeting support such as planning, notes, follow-ups, set-ups, and scheduling. Coordinates conference calls, maintains and revises the department calendars/agendas as needed. Organizes meetings (including video and telephone conference calls), projects, with the ability to improvise, improve procedures, and meet critical deadlines.

  • Prepares, maintains and submits expense reporting, ordering and maintaining office supplies, and arranges for equipment maintenance/repair coordinates domestic and international travel arrangements using company travel system and processes expense reports following established processes and travel policy.

  • Manages all details and execution of summits/meetings ensuring that hotel, travel, speaking agendas, business review items and all key elements are addressed as needed. Ensures an excellent experience is delivered. Serves as a liaison between departments to ensure proper communications and business practices by working closely with all internal departments.

  • Works across the business to execute projects and complex special assignments by establishing objectives, determining priorities and managing timelines.

  • Creates status reports and general tracking mechanisms to ensure achievement of objectives through a detailed approach to task execution. Reports status updates to senior management.

  • Evaluates success of projects and initiatives against its benchmarking and shares lessons or best practices for continuous improvement.

  • Coordinates changes and willing to adapt as necessary.

  • Other duties as assigned by the VP & GM, Prescription Medicine.   

Skills & Qualifications

  • Bachelor’s degree in business, Marketing, or a related field, preferred.

  • Minimum of five (5) years related administrative support experience in a corporate environment is required.

  • Must be able to demonstrate a high level of competency relating to administrative and clerical responsibilities, procedures, and systems

  • Must have experience managing project from initiation to completion

  • Strong experience with Microsoft Teams, SharePoint, Outlook, Word & Excel.

  • Ability to demonstrate a high level of technical skills

  • Ability to demonstrate excellent communication (verbal/written); excellent grammar is required.

  • Ability to demonstrate organizational/time management skills; must be able to balance multiple projects and responsibilities simultaneously

  • Demonstrate high level of integrity and sense of urgency.
