The opportunity:

Join our DWEI (Digital Workspace and Employee Infrastructure) team to own the operational health, governance, and continuous improvement of Harvard Business Publishing’s core Microsoft 365 services. You’ll be the hands-on platform owner for day-to-day administration, reliability, and optimization across Exchange Online, SharePoint Online, OneDrive for Business, Microsoft 365 Apps, and key collaboration tools—while partnering closely with teammates in shared ownership areas like Microsoft Teams and Microsoft Entra.  

Copilot is integral to how employees work across Microsoft 365. In this role, you will help ensure Copilot is easily leveraged by all workers and clear guidance is provided to accelerate its adoption. 

This is an individual contributor role with close collaboration across IT peers (identity, security, endpoint/device, service desk) and business stakeholders to deliver reliable services and an excellent employee experience. 

What you'll do 

  • Own M365 operations and service health: Administer, monitor, and continuously improve core Microsoft 365 workloads, proactively resolving issues and reducing repeat incidents through standardization and operational excellence. 

  • Lead incident response and vendor escalation: Triage incidents, coordinate cross-team response, manage communications, and work with Microsoft Support through resolution; drive post-incident reviews and preventative improvements. 

  • Manage Exchange Online operations: Own mailbox administration, shared mailboxes, key operational configurations (e.g. mail flow rules), and day-to-day reliability for Exchange Online and Outlook/Calendar experiences. 

  • Own SharePoint Online governance and administration: Maintain governance patterns for sites and content, manage permissions models, implement secure sharing configurations, and improve information architecture and lifecycle management. 

  • Own OneDrive for Business configuration and experience: Operate and optimize OneDrive sharing posture, sync health troubleshooting patterns, storage/lifecycle governance, and common collaboration scenarios. 

  • Administer and optimize Microsoft 365 Apps: Coordinate Office apps update posture and channels, baseline add-ins, and ensure a consistent and supportable configuration across the enterprise. 

  • Support Viva suite services (as applicable): Administer and help HBP review and adopt Viva Amplify, Engage, Insights, Learning, Topics, Pulse, Reflect, and Glint. 

  • Shared ownership partnership (Teams and Entra): Collaborate with peer owners to align governance and operational practices for Microsoft Teams and Microsoft Entra, ensuring consistent policy outcomes and excellent user experience. 

  • Support team members by reviewing code and configurations, sharing best practices, and helping ensure consistent, reliable implementations. 

  • Enable Copilot readiness and quality outcomes: Improve Copilot results by helping workers strengthen their fundamentals. 

  • Drive adoption and employee experience improvements: Partner with stakeholders to reduce friction in common scenarios (sharing, access requests, collaboration design) and deliver practical user guidance, training, and change communications. 

  • Automate and document operational work: Use PowerShell and Microsoft Graph concepts to build reporting/automation, reduce toil, and maintain runbooks, standards, and knowledge articles for repeatable support. 

  • Administer additional M365 tools in scope: Provide operational ownership and support for Planner, To Do, Lists, Forms, Sway, Whiteboard, Visio, Bookings, People, and Places (as applicable to M365 experiences). 

What you'll bring 

  • 7+ years of hands-on Microsoft 365 administration experience in an enterprise environment, with demonstrated ownership of service health, configuration, and governance. 

  • Strong operational expertise in SharePoint Online, OneDrive for Business, Exchange Online, and Microsoft 365 Apps (administration, troubleshooting, lifecycle, and governance). 

  • Demonstrated ability to lead/coordinate incident response, root cause analysis, and preventative follow-through in a production environment. 

  • Proficiency with PowerShell for administration and automation; comfort with Microsoft Graph concepts for reporting and operational improvements. 

  • Working knowledge of security/compliance-aligned configuration approaches (auditing posture, retention readiness, sensitivity/labeling awareness) and ability to partner effectively with security/compliance stakeholders. 

  • Strong collaboration and communication skills—able to work closely with peers in shared ownership models (Teams/Entra) and translate technical decisions into clear user impact and guidance. 

  • A practical, employee-experience mindset: able to balance governance with usability, reducing friction while maintaining appropriate controls. 

You'll stand out if you have 

  • Experience supporting Copilot readiness programs (information architecture improvements, permissions hygiene, lifecycle governance, labeling awareness, content discoverability) and aligning M365 configuration to improve Copilot outcomes. 

  • Viva administration and enablement experience, including adoption campaigns and measurement of outcomes (where applicable). 

  • Experience partnering on Teams governance (policies, app governance coordination, lifecycle patterns) and Entra collaboration (identity experience impacts, conditional access troubleshooting). 

  • Familiarity with Microsoft Purview concepts (retention, sensitivity labels, eDiscovery readiness) and operational alignment to compliance requirements. 

  • IT service management (incident/problem/change) experience and a track record of building runbooks and operational dashboards. 

  • Microsoft certifications (e.g., MS-102, SC-300, or similar) or evidence of strong operational delivery in M365 at scale.

While this role is open to qualified candidates, individuals based in the Boston area will be prioritized due to onsite collaboration needs. This position follows a hybrid schedule, with an expectation to work onsite once per week on Wednesdays. The anticipated compensation range for this role is $125,000–$145,000, dependent on experience and qualifications.

Above is the annualized pay range for this position. In addition, this position includes the opportunity to earn our annual Performance Based Variable Pay Program. Actual salary will be set based upon a range of factors, including external benchmark market data, individual knowledge, skills, experience, location and internal equity.
