The Executive Recruiting team at SharkNinja partners directly with senior leaders to hire world-class executives who shape the future of the company. We manage highly visible and often complex searches across all functions, balancing a need for speed with a white-glove candidate and internal client experience.
The Senior Coordinator (Executive Recruiting) owns and orchestrates end-to-end executive search delivery across multiple VP+ roles, ensuring alignment between business leaders, external search partners, and internal stakeholders while driving speed, quality, and candidate experience.
As a Senior Coordinator (Executive Recruiting), you'll join a team that thrives on precision, partnership, and discretion. We work closely with recruiters, sourcers, executive assistants, and hiring managers to flawlessly execute confidential and high-impact recruiting processes.
About the role:
  • As a Senior Coordinator (Executive Recruiting) you will be responsible for managing the operational excellence of our executive searches, ensuring a seamless experience for candidates, interviewers, and hiring leaders. You'll oversee scheduling for highly complex interview panels, manage confidential requisitions, facilitate candidate greetings, and schedule internal meetings with executive stakeholders.
  • This role requires impeccable attention to detail, strong communication skills, and the ability to navigate ambiguity in a fast-paced environment. You will act as the connective tissue across recruiters, sourcers, executive assistants, and business leaders, ensuring every step of the process is smooth, professional, and aligned with SharkNinja's high standards.
  • This position is FLSA non-exempt and requires onsite presence at our Needham HQ four days/week.

You will get to:
  • Lead the coordination of requisition-based executive searches, from kickoff through onboarding, including scheduling hiring manager screens, interview panels, alignment meetings and interview debrief meetings.
  • Program-manage multiple concurrent VP+ searches globally.
  • Own search strategy, cadence, and executive stakeholder alignment.
  • Manage and performance review external search firms.
  • Drive BLUF-style reporting, risk mitigation, and decision velocity.
  • Ensure consistent candidate experience and offer execution.
  • Track pipeline health, diversity goals, and time-to-fill metric.
  • Manage confidential requisitions with discretion, ensuring sensitive information is handled appropriately in calendar holds, invites, and communications.
  • Build strong partnerships with recruiters, sourcers, and executive assistants, serving as the primary point of contact for scheduling logistics and process alignment.
  • Provide white-glove candidate experiences for onsite interviews, virtual interview greets, thoughtful communications, and personalized touches such as offer gifts.
  • Maintain and update key recruiting resources such as candidate pipelines, pre-brief documents, Teams channels, and executive availability trackers.
  • Track and manage offer letters, NDA distribution, signatures, and compliance for all executive-level candidates.
  • Anticipate roadblocks and proactively communicate updates or scheduling challenges to recruiters, hiring leaders, and executive assistants.
  • Support the onboarding process by coordinating with executive assistants and ensuring a smooth transition for new hires.
  • Manage retained search relationships with third party executive search firms and candidate coordination through high touch communication and flawless execution of onsite candidate interviews.
  • Develop process innovation to elevate the Executive Search programmatic interview guides for internal hiring leaders in partnership with Talent Acceleration.

Who you are:
  • Exceptionally organized and detail-oriented, with the ability to juggle multiple high-priority searches at once.
  • Skilled at managing complex calendars and executive scheduling logistics, with a strong understanding of the nuances of working with executive assistants.
  • Adept at maintaining confidentiality and exercising discretion when working on sensitive searches.
  • A strong communicator, able to build trust and credibility across recruiters, sourcers, executive assistants, and senior leaders.
  • Comfortable operating in fast-paced, ambiguous situations while maintaining a calm and professional demeanor.
  • Naturally collaborative, thriving in a team environment where success depends on clear communication and partnership.
  • Proactive and resourceful, able to anticipate needs, identify risks, and act quickly to resolve challenges.

Qualifications:
  • Bachelor's degree required.
  • 6+ years of experience in recruiting coordination, executive support, or a related role, preferably in an executive search or high-growth technology environment.
  • Experience supporting C-suite or VP-level searches.
  • Experience managing relationships with retained search firms.
  • Proven success managing complex scheduling with senior executives and their assistants.
  • Experience handling confidential information with discretion and professionalism.
  • Strong proficiency with scheduling tools, calendar management, and recruiting platforms.
  • Excellent written and verbal communication skills.
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Passion for creating an exceptional candidate and client experience.

Salary and Other Compensation: The annual salary range for this position is displayed below. Factors which may affect starting pay within this range may include geography/market, skills, education, experience and other qualifications of the successful candidate.

Pay Range
$75,200-$91,900 USD
