  • Administer and maintain Bain Capital funds’ and advisors’ e-billing and matter management platform, Onit, which serves as the financial system of record for legal matters and facilitates the processing and payment of legal invoices. Support Bain Capital Onit users and work directly with Onit to troubleshoot and resolve system and workflow issues.
  • Coordinate with Bain Capital Legal, Finance, investment teams, and other stakeholders to manage legal matters in Onit, including new matter creation, matter coding and allocation, ongoing maintenance, payment routing, and matter closure.
  • Manage a high volume of legal billing activity and proactively monitor invoices throughout the review, approval, and payment process to identify and resolve exceptions, delays, and other issues.
  • Communicate regularly with outside counsel and other legal vendors to resolve billing issues, facilitate invoice submission, and support vendor onboarding. Partner with the Bain Capital Legal team to maintain and enforce legal billing guidelines, budgets, and other billing requirements.
  • Partner closely with Accounts Payable and Finance to facilitate timely and accurate payment of legal invoices and resolve payment, coding, allocation, and reconciliation issues.
  • Build and maintain legal billing reports for Bain Capital Legal, Finance, FP&A, and other stakeholders on both a regular and ad hoc basis, including reporting related to accruals, budgets, legal spend, invoice status, and paid fees.
  • Provide detailed and accurate analysis of legal billing data across the Bain Capital platform, identifying trends, exceptions, and actionable insights for senior stakeholders.
  • Help maintain the accuracy and integrity of legal billing and matter data and identify opportunities to strengthen processes and controls across the invoice lifecycle.
  • Leverage technology, data, and automation to improve legal billing processes, reporting, controls, and workflows. Proactively identify opportunities to reduce manual processes and develop more scalable and efficient solutions.
  • Serve as a knowledgeable resource on legal billing processes and systems and help drive continuous improvement of the legal billing function.

Qualifications

  • Bachelor’s degree required; degree in accounting, finance, business, or a related field preferred.
  • Approximately 3–5 years of relevant experience in legal billing administration, legal operations, accounts payable, accounting, finance, or a related function. Experience in a law firm or in-house legal billing environment strongly preferred.
  • Experience with legal e-billing and matter management systems. Onit experience strongly preferred, including familiarity with Counsel Exchange/CounselGo.
  • Strong proficiency in Microsoft Excel and demonstrated ability to work with and analyze large datasets. Experience with Workday or another enterprise financial system preferred.
  • Strong technology aptitude and demonstrated interest in using technology, automation, and reporting tools to improve processes and drive efficiencies.
  • Entrepreneurial and self-directed, with the ability to identify issues, take ownership, and drive matters through resolution with limited oversight.
  • Exceptionally organized and detail-oriented, with demonstrated ability to manage high-volume, complex workflows and multiple competing priorities.
  • Excellent interpersonal and teaming skills, with the ability to work effectively across Legal, Finance, Accounts Payable, investment teams, senior management, and third-party law firms and vendors.
  • Clear, professional, and proactive communicator with strong judgment, accountability, and follow-through.
  • Ability to develop effective working relationships with senior stakeholders while also managing the detailed day-to-day responsibilities of the legal billing function.
