What you’ll do

Are you a customer service minded individual who feels a sense of accomplishment when you can solve a problem which has a successful result?  In this integral role on AlixPartners’ Corporate Services team, you will directly support multiple consulting professionals. Responsibilities include coordinating deadlines, analyzing, and handling sensitive information, and playing a critical role in handling confidential information requests. Support will include making meeting arrangements, managing business and personal calendars, domestic and international travel booking, expenses, time entries, and case documents. Light travel is anticipated.

The Administrative Senior Professional role is a full-time position located in Boston, MA, and reports to the Office Management Director. Paid relocation is not available for this position.

  • Manage complex calendaring, prepare business travel itineraries, and process expense and time reports.
  • Provide back-up support for the office manager and other administrative and office services team members.
  • Anticipate needs, prioritize responsibilities, effectively handle calendar conflicts, and proactively manage schedule changes.
  • Create and edit correspondence, invoices, engagement letters, and presentation materials.
  • Handle sensitive and urgent information from clients, exercise judgment in responding to unique and urgent situations, as well as in managing and reporting outstanding requests.
  • Strategically and effectively coordinate with both internal and external constituents.
  • Balance multiple priorities by considering risk, importance, urgency, political impacts, and other linkage. Assimilate unfamiliar issues rapidly, anticipate and resolve potential problems.
  • Assist in managing and responding to emails and requests in a timely fashion.
  • Planning and management of technical and logistical support services to ensure seamless execution of internal and external events. Some travel is expected for event implementation.
  • Perform back-up support for other admin professionals and front desk reception, act as liaison with the building team as needed for visitors, vendors or facilities needs.
  • Assist with office service tasks such as restocking supplies in kitchens, setting up and cleaning conference rooms, and other related duties as needed.
  • Assist as needed with event planning for small and large groups.

 What you’ll bring

  • High School diploma or equivalent required, college degree(s) preferred.
  • Minimum of three (3) years of administrative assistance experience; professional services firm highly preferred.
  • Proven ability to own and drive outcomes within a defined workstream, including setting priorities, managing execution, and delivering results.
  • Ability to apply judgment and provide practical guidance to stakeholders.
  • Ability to influence across teams, functions, and seniority levels, including partnering effectively with senior leaders.
  • Excellent organizational skills with experience operating in time-sensitive, ambiguous environments, balancing competing priorities with sound judgment and discretion.
  • Comfortable leveraging firm-approved AI tools and technology to support day-to-day work efficiencies, streamline tasks, and enhance productivity.
  • Ability to translate analysis into clear insights and recommendations that inform decision-making.
  • Experience identifying and driving process, tool, or system improvements to enhance efficiency, quality, or scalability.
  • Demonstrated commitment to collaboration, inclusion, and professionalism, fostering productive working relationships
  • Ability to maintain composure and an executive presence under pressure in a fast-paced, constantly changing environment.
  • Ability to be discreet and handle confidential, sensitive information.
  • Advanced proficiency with Microsoft Word, Outlook, Excel, and PowerPoint.
  • Excellent written and verbal communication skills in English, with the ability to deliver clear, concise, and executive-ready messaging.
  • Demonstrated commitment to collaboration, inclusion, and professionalism, fostering productive working relationships.
  • Core working hours are generally 8:30 AM – 5:30 PM, Monday - Friday; flexibility to work overtime as needed and willingness to work outside of normal U.S. business hours, and as unique projects/needs arise.
  • Ability to work full time in an office and remote environment; physically able to sit/stand at a computer and work in front of a computer screen for significant portions of the workday.

  • Ability to lift a minimum of 15 pounds.
  • Ability to travel 10%.

Employees will also receive a generous paid leave policy including vacation/personal time starting at 7.34 hours per pay period, sick time up to 80 hours annually, parental leave, and twelve holidays.  

AlixPartners has embraced a hybrid work model to provide flexibility and support our employees’ work-life integration. Our hybrid model combines a mix of in-person at an AlixPartners office.

The hourly range for this role takes into account a number of factors and is between $35/hr. - $45/hr. with eligibility for an annual discretionary bonus.
