What You'll Do:
- Telephone coverage to include assisting caller or taking messages for routing to the appropriate individual
- Manages the VP's emails and files for recordkeeping
- Manages the VP's calendar
- Coordinate VP's travel
- Reconciles and submit VP's travel expenses as well as process other expenses as needed
- Coordinate and schedule meetings, reserve rooms, forward meeting notices, arrange conference calls or video conferences, order meals, arrange dinners, and prepare meeting materials
What You'll Bring:
- Minimum 5-7 years of administrative support experience
- Degree preferred or work experience
- Previous experience in Financial Services is required
- Proficient with Microsoft Office Package - Teams, Outlook, Word, Excel, PowerPoint and Access a plus
- Excellent recordkeeping
- Excellent file management - creation, maintenance, and disposition
- Coordinates all travel and expenses
- Timely and accurate expense management
- Directs inquiries and follow ups with the appropriate parties to assure timely and thorough resolution
- Familiar with the infrastructure of the Foundational Business and can route inquiries to the right place quickly within and outside of the division
- Understands Company policies and procedures and can resolve routine inquiries for staff quickly and correctly
- Demonstrates a strong sense of urgency
- Possesses a clear understanding of priorities
- Good oral and written communication skills
- Must be discreet in handling confidential information
- Must be a team player
