In your first 90 days: you know every jurisdiction we file in, you have verified the filing calendar against each account's actual frequency, and no return has gone out late. You have also built a strong understanding of how taxes are being collected and remitted across the portfolio and can identify and help resolve discrepancies when they arise.

This is a seat with real ownership. You are not one filer on a large tax team, you are the person who makes sure a growing STR portfolio stays compliant in every market it operates in.
Key Responsibilities:
Registrations and account maintenance
- Add and remove properties from tax accounts as they come on and off management, across state, county, and town jurisdictions
- Establish and maintain sales tax registrations, permits, and accounts across applicable jurisdictions
- Communicate with county and state revenue offices to maintain registrations, resolve account issues, and respond to notices, discrepancies, and information requests
- Monitor tax rate changes and new jurisdictional filing requirements, and update our records accordingly
- Maintain accurate documentation of account status, registrations, filing requirements, and jurisdiction-specific information
Filing and reconciliation
- Prepare and file sales tax and lodging/HOT returns on monthly, quarterly, and annual cycles
- File and remit taxes accurately and on time across multiple state and local jurisdictions
- Pull and review tax reports to confirm filings, payments, and collections are accurate and complete
- Audit OTA tax collection (Airbnb, Vrbo, Booking.com) to confirm the correct tax is collected and remitted for each jurisdiction
- Research and resolve discrepancies between tax collected, reported, filed, and remitted
- Apply an understanding of nexus requirements and taxable transactions when reviewing tax obligations across jurisdictions
Systems and communication
- Maintain the tax filing calendar, tracking systems, jurisdiction logins, filing frequencies, and account documentation
- Maintain clear and consistent records so filing history, account status, deadlines, and supporting documentation are easy to track
- Keep internal teams and homeowners informed on the status of their tax accounts and filings
- Communicate clearly and professionally with tax authorities, homeowners, and internal stakeholders regarding registrations, filings, notices, and outstanding items
Skills, Knowledge and Expertise
What we’re looking for:
- Hands-on experience preparing, filing, and remitting sales tax returns for business clients
- Experience managing a high-volume portfolio of sales tax accounts, clients, or entities
- Strong understanding of sales tax nexus requirements and taxable transactions
- Experience working across multiple state and/or local tax jurisdictions
- Hands-on experience with sales tax, lodging tax, hotel occupancy tax (HOT), or transient occupancy tax compliance
- Experience establishing or maintaining sales tax registrations and permits on behalf of businesses or clients
- Comfort managing high volumes of detail across many jurisdictions and accounts at once
- Strong written and verbal communication — you will be on the phone with revenue offices and emailing homeowners directly
- Proficiency in Excel or Google Sheets, and the confidence to learn new filing portals and software quickly
- Highly organized and deadline-driven, with a track record of owning a process end to end
- Strong attention to detail and a track record of accurate, timely filings and recordkeeping
Nice to Have
- Sales tax compliance experience within an accounting firm, tax firm, or similar client-service environment
- Short-term rental or property management industry experience
- Experience with lodging tax, hotel occupancy tax (HOT), transient occupancy tax, or similar hospitality-related taxes
- Familiarity with OTA tax collection and remittance mechanics (Airbnb, Vrbo, Booking.com)
- Experience with multi-entity compliance across several operating companies
- Experience responding to tax notices, account discrepancies, or information requests from state and local revenue authorities
