Summary of the position:

The Sales Support Specialist will play a crucial role in assisting our field sales team with the management and support of equipment sales.  This position is responsible for all incoming phone calls and emails from end users, Equipment Solutions Consultants (ESCs), Aftermarket Sales Representatives (ASRs) and other company personnel relating to requests for proposals, technical support, and other sales activities.  Key functions will include preparing cost sheets, proposals and preparing supporting documentation for all proposals relating to equipment sales.   Further, will be responsible for developing and keeping quote templates, keeping equipment engineering data up to date from manufacturers and requesting non-price book quotes from vendors.  The Sales Support Specialist will be responsible for consolidating all information relating to an opportunity from field sales, vendors, and internal sources prior to sending for order processing.

Duties and responsibilities:

  • Responsible for answering incoming calls from Ring Central relating to Sales and directing inquiries to the appropriate ESC or ASR, or in some cases, Hitachi Air Center’s Regional Sales Managers (RSMs).

  • Work within Sales Force for managing equipment sales requests for quote, managing by submission date/time or level of urgency.

  • Handle internal and external customer inquiries as they pertain to equipment stock levels, lead times, pricing and options for compressors, contaminant removal systems, tanks, master controllers and more.

  • Prepare equipment quotes based on internal and external customer requests.

  • Work with vendors to respond to lead time inquiries for non-stock items.

  • Request credit check for new customers or when proposals exceed customer’s credit limit.

  • Ensure margin levels requested are within approved levels and communicate with RSMs if approval required.

  • Attached completed cost sheet and proposal into Sales Force.

  • Upon Receiving an equipment order, preparing all pertinent information for submission to Equipment Procurement:

  • Customer purchase order / signed proposal terms.

  • Customer account set up request with credit limit requirements to handle order.

  • Pricing verification and costs to provide to equipment procurement.

  • Any written communication relevant to the project.

  • Assist with sales campaigns, promotions, and customer outreach initiatives.

  • Prepare and distribute marketing materials, presentations, and product brochures as requested.

  • All other duties as required to support superior customer satisfaction.

  • This is a dynamic position as responsibilities may be added or removed as necessary.

  • Communication with all departments within the HAC will occur on a regular basis.  The depts include Parts, sales and will be expected to assist in covering for other team members when the need arises.

Education:

  • Associate degree a plus

  • High School Diploma Required

Professional experience:

  • Minimum of 3 years’ experience with sales support and administration functions

  • Proficiency in Microsoft Excel, Word

  • Experience with Sales Force CRM is a benefit

  • Knowledge of SAP ERP is a plus
