Job Title: Administrative Sales Coordinator (VP Coordinator)

Location: Boston

Position Summary:

This Coordinator provides a wide range of support to the VP, Head of Sales, Immunology and VP, Head of Market Access & Patient Services. They are accountable for achieving objectives and completing tasks in a timely and effective manner, maintaining a professional working environment and demeanor, and demonstrating high integrity, accuracy, confidentiality, and accountability. This position also serves as a liaison for the department with other functional areas.

Will plan and coordinate Rx related projects involving; presentations related to high growth initiatives, product related support, for our Rx sales team. Leads projects to assure they meet their goals and objectives for performance & quality standards, budget constraints, and timelines.

Key Responsibilities:

  • Works in collaboration with the VP, Head of Sales and VP, Head of Market Access and Patient Services to help implement project objectives in support of identified goals with a continuous process improvement focus.

  • Lead administrative support to both Vice President providing insights and coordination during team meetings, leadership forums and industry conferences.

  • Prepares, compiles, reviews, routes and edits presentations, and materials.

  • Provides internal meeting support such as planning, notes, follow ups, set ups, and scheduling. Coordinates conference calls, maintains, and revises the department calendars/agendas as needed. Organizes travel, meetings (including video and telephone conference calls), projects, with the ability to improvise, improve procedures, and meet critical deadlines.

  • Leads projects including PowerPoint slide decks, be the point amongst VP coordinator community, and maintain relationships with our many internal service partners, IT, HR, FN, Ops.

  • Works with team members to facilitate budgeting, expense reports, POs, and payment to external vendors

  • Prepares, expense reports, memos, spreadsheets and PowerPoint presentations. Reviews documents and reports for accuracy and compliance.

Qualifications:

  • Bachelor’s Degree in Business, Marketing, or a related field, preferred.

  • Minimum of three (3) years of related administrative support experience in a corporate setting required

  • Ability to organize, prioritize, and work effectively in a constantly evolving workplace

  • Demonstrate high personal integrity, teamwork abilities, and ability to thrive in fast-paced environment

  • Ability to interpret an extensive variety of technical instructions and deal with several abstract and concrete variables

  • Read and interpret documents such as company policies and procedure manuals, etc.

  • Competent in written and oral presentations

  • Ability to multi-task under pressure
