About the Role

We're hiring a Recruiting Operations Coordinator to support how STLabs hires. This is a high-ownership, full-cycle coordination role: you'll own everything from interview scheduling and ATS hygiene to agency tracking and job description upkeep, keeping candidates, recruiters, and hiring managers moving smoothly through every step of the process.

Responsibilities

  • Own end-to-end interview scheduling and logistics across candidates, recruiters, hiring managers, and interview panels — everyone always knows where to be and when.

  • Keep Ashby (ATS) clean and current: pipeline stages, scorecards, requisitions, and scheduling notes, so the data is trustworthy the moment anyone needs it.

  • Track progress with outside staffing and search agencies — submissions, feedback loops, and timelines.

  • Partner closely with internal recruiters on talent attraction: sourcing support, job postings, and candidate communications.

  • Draft, update, and maintain job descriptions in partnership with hiring managers, keeping every posting current across Ashby, LinkedIn, and the careers page.

  • Organize and maintain recruiting files in Google Drive so the whole team can find what they need without asking you first.

  • Run recurring recruiting reports — pipeline health, time-to-fill, scheduling SLAs — so leadership always has real visibility.

  • Coordinate recruiting events, onsite interview days, and candidate travel logistics.

  • Support all of recruiting, broadly — this is an early-stage company, and the role expands to whatever the function needs next.

Qualifications

  • 1–3 years in recruiting coordination, recruiting operations, or a similarly detail-heavy role — startup or high-growth experience strongly preferred.

  • Hands-on experience with Ashby, or a comparable ATS.

  • You keep a dozen moving parts straight without dropping one, and you can point to a specific time you did.

  • Clear, professional written and verbal communication .

  • Proficiency with Google Workspace and general comfort picking up new tools fast.

Bonus

  • Experience supporting technical or engineering recruiting specifically.

  • Some exposure to sourcing or candidate outreach.

  • Experience at a company under ~100 employees, where you helped build the recruiting function rather than just operate inside one.

Compensation

The reasonably estimated yearly salary for this role is: $65,000—$80,000 USD.
