What you’ll do:

As the Receptionist/Administrative Assistant at PrizePicks, you will be the face of our organization, responsible for creating a warm, professional, and secure first impression. In this role, you will manage front desk operations, support day-to-day office activities, and play a key part in upholding our workplace culture and security standards. This position is an in-office position, 5 days a week.


Key Responsibilities

  • Access Control
    Monitor and manage entry to the facility and verify visitor credentials in alignment with building and company security protocols. Ensure that everyone who enters the building is authorized to be there. Be able to approach anyone who is not an employee and does not have the necessary credentials to stop and register for their visit. 
  • Visitor Management
    Greet and assist guests, new hires, employees and vendors, ensuring a seamless and welcoming experience from arrival to departure. Be the resident expert of our office space and be able to answer Frequently Asked Questions. Ensure that guests connect with their hosts. 

Assist with vendors signing in and connecting them with the correct point of contact. 

  • System Administration
    Manage guest check-ins using the Envoy system. Use the Prism system to communicate with building security and submit facility-related requests.  Assist contractors, new hires, and guests with access needs. 
  • Emergency Response
    Act as the first line of response in emergency situations, following company procedures to maintain safety and coordinate with the security team.
  • Mail & Shipping Management
    Receive, sort, and distribute incoming mail and packages. Prepare and coordinate outgoing shipments and drop-offs as needed.
  • Administrative Support
    Provide administrative support to executives as needed including calendar management, travel arrangements, expense reporting and any other administrative duties.  
  • Collaboration with Security Personnel
    Maintain communication with building and internal security teams to ensure a secure environment.
  • Customer Service Excellence
    Represent PrizePicks’ culture with professionalism and enthusiasm in every interaction. Ensure content on lobby monitors are updated daily. Ensure the lobby area is presentable, tidy, free of clutter and safety hazards, and submit work orders as needed.

What you have:

  • 2 - 3+ years of experience in a receptionist, administrative, or front office role.
  • Experience working in a high-security environment is a plus.
  • Proficient with front desk systems such as Envoy and Prism or similar platforms.
  • Strong communication and interpersonal skills.
  • Exceptional organizational and multitasking abilities.
  • Proficient using Slack and Google products.
  • Calm and confident under pressure with a proactive approach to problem-solving.
  • Passionate about people, culture, and creating a positive work environment.
