ResponsibilitiesReceptionist Responsibilities:
  • Welcome residents, visitors, families, vendors, and staff with a positive, professional, and helpful attitude.
  • Provide exceptional customer service while assisting guests and directing them to appropriate locations.
  • Manage visitor sign-in and sign-out procedures according to facility policies.
  • Verify identification for agency and vendor visitors.
  • Answer and manage calls using a multi-line phone system, including directing, forwarding, and returning calls in a timely manner.
  • Respond professionally and courteously to calls from residents, families, hospitals, healthcare providers, vendors, and community members.
  • Take and communicate emergency and non-emergency messages accurately.
  • Maintain a calm and professional demeanor while handling multiple calls, questions, and requests.
  • Monitor voicemail, return calls, and route messages appropriately.
  • Assist with administrative tasks including data entry, document scanning, filing, and record management.
  • Enter and maintain resident demographic information within electronic systems.
  • Handle protected health information in accordance with HIPAA and facility policies.
  • Assist with accounts payable support, invoice processing, and payment-related administrative duties as needed.
  • Distribute mail and package deliveries throughout the facility.
  • Monitor facility alert systems and respond according to established procedures.
  • Utilize public address systems and communication tools appropriately.
  • Maintain an organized, clean, and welcoming reception area.
  • Support emergency communication procedures when needed.
  • Demonstrate professionalism, teamwork, empathy, and respect in all interactions.
  • Perform other duties as assigned.

  • High school diploma or GED required.
  • Previous customer service, administrative, or healthcare experience preferred.
  • Experience operating a multi-line phone system preferred.
  • Strong verbal and written communication skills.
  • Professional and welcoming demeanor.
  • Excellent organizational skills and attention to detail.
  • Ability to multitask while maintaining accuracy and quality.
  • Strong customer service skills and ability to interact positively with residents, families, visitors, and team members.
  • Ability to work effectively as part of a team.
  • Ability to maintain confidentiality of resident and facility information.
  • This position requires regular interaction with residents, coworkers, visitors, and/or supervisors. In order to ensure a safe work environment for residents, coworkers, visitors, and/or supervisors of the Company, and to permit unfettered communication between the employee and those residents, coworkers, visitors, and supervisors, this position requires that the employee be able to read, write, speak, and understand the English language at an intermediate or more advanced level.
