Job Summary

The Project Manager I, AMC Ambulatory plays a pivotal role in advancing the strategic priorities of the Mass General Brigham (MGB) ambulatory enterprise.
This position supports the development and implementation of initiatives that focus on Access, Value, Care Delivery, and Safety across our Academic Medical Centers (AMCs) and founding members of Mass General Brigham- Brigham and Women’s Hospital, Brigham and Women’s Faulkner Hospital and Mass General Hospital, along as well regional sites and community health centers. Working in close partnership with operational leaders across our AMCs and the system, the Project Manager I ensures all initiatives are grounded in the voice of the patient and designed to improve the experience and outcomes of care.
This role requires a critical thinker and hands-on collaborator who can support complex projects while facilitating communication, alignment, and accountability across departments and stakeholders in a fast-paced environment.


 

Qualifications

Core Responsibilities:

Project Lifecycle Coordination

  • Provide administrative and logistical support across all phases of assigned projects, ensuring smooth progression from planning through completion.

  • Assist in developing and maintaining project timelines, task lists, and documentation of key deliverables.

  • Coordinate communication between stakeholders and project teams, including updates on milestones, risks, and issues.

  • Help organize effective project meetings by preparing agendas, tracking action items, and capturing meeting notes.

Strategic Planning Support

  • Support operational and clinical leaders in documenting and tracking initiatives aligned with the strategic roadmap for ambulatory care.

  • Assist in translating strategic goals into project trackers or plans with measurable milestones.

  • Work with analytics teams to compile, format, and distribute data and insights to aid decision-making.

  • Develop tools and workflows focused on improving efficiency in the practice setting.

Policy, Guidelines, and Standards Coordination

  • Support the development and dissemination of standardized protocols and procedures across the ambulatory footprint.

  • Help gather and report data to monitor the adoption and implementation of guidelines in coordination with clinical and operational teams.

  • Maintain version control and status updates of policy documents and tools.

Knowledge Management & Communication

  • Keep documentation of organizational structures, initiatives, and reporting relationships accurate and accessible.

  • Assist in drafting and distributing communications that reflect project updates and elevate stakeholder voices.

  • Maintain the internal multi-channel communication platform, ensuring that content is timely, relevant, and aligned with AMC and system goals.

Patient Care Performance Support

  • Assist with the collection and presentation of key performance indicators (KPIs), including patient experience data.

  • Collaborate with operational teams to organize and track performance improvement initiatives.

  • Support benchmarking efforts by compiling data, identifying trends, and formatting results for review.

Facility and Operational Support

  • Coordinate logistics and administrative support for pilots or new initiatives in ambulatory care.

  • Assist with stakeholder engagement efforts by supporting meeting preparation, outreach coordination, and feedback collection.

  • Help track progress of initiatives to ensure alignment with operational goals.

Emergency Management Support

  • Support the maintenance and distribution of preparedness plans and protocols for ambulatory services.

  • Help integrate patient experience considerations into planning documents and communication materials.

  • Assist with coordination and documentation during emergency drills or actual response efforts.

Inter-company Responsibilities

  • In partnership with MGB Enterprise Ambulatory team, lead and/or support projects related to scheduling optimization, referral coordination, and capacity management.

  • Support operational leaders and other key stakeholders as they seek to identify and address operational barriers to timely and equitable patient access.

  • Support other MGB Enterprise Ambulatory business needs as necessary.

Financial Management

  • May be required to support budget development across ambulatory clinics with direct line to Ambulatory Services.

  • Support volume statistics and projections for patient capacity and throughput.

  • Responsible for the efficient use of resources and time.

Qualifications:

Required-

  • Bachelor’s degree in Healthcare Administration, Public Health, Business, or a related field.

  • 2–3 years of experience in project management or healthcare operations.

  • Strong communication, analytical, and organizational skills.

  • Proficiency in productivity tools (e.g., MS Project, Excel, Teams).

Preferred-

  • Master’s degree (MPH, MHA, MBA or related discipline).

  • Background in ambulatory care operations or health system strategy.

  • Familiarity with Lean, Six Sigma, or other quality improvement methodologies.

  • PMP, CAPM, or related project management certification.
