Role Summary:

We are seeking a highly skilled and motivated Program Manager to oversee the project management and health of our enterprise customers particularly within the clinical research space. The ideal candidate will have experience in managing complex, large-scale projects, an understanding of the clinical research and pharmaceutical industry, and a proven track record of ensuring customer success and satisfaction. This role includes end-to-end study and project management support, starting with the contracting process through final deliverable and study close-out. You will work closely with internal teams (CS, Data, Support, Sales, Product, Engineering) and external stakeholders (Sponsors, CROs, Study Teams, Sites) to ensure seamless program onboarding, ongoing execution, and overall client satisfaction.

Please note that this role must be based in CST or EST, with strong preference to EST. This person will work closely with our international team so we are not able to consider candidates who are the PST at the moment.

What You'll Do:

Study Project Management & Oversight

  • Plan, lead, and manage existing and new enterprise-level projects for assigned accounts from inception to completion, delivering the work within the defined scope and timeline
  • Develop and execute detailed project plans in alignment with study protocols and customer requirements, and ensure timely and accurate reporting on project progress internally and externally
  • Coordinate start-up and ongoing activities between multiple projects, working directly with various internal cross-team resources (e.g., Implementation Managers, Customer Support Specialists, Data Coordinators, and technical teams)  
  • Monitor project performance, address challenges, and implement corrective actions as needed to meet timelines for key milestones and deliverable

Customer Relationship & Success

  • Serve as the main customer point of contact, escalation point, and the owner of the customer relationship. Maintain strong customer relationships over the course of projects and across studies.
  • Proactively monitor active implementations and ongoing customer engagements by monitoring progress, resolving issues and initiating appropriate corrective action, as required. 
  • Collaborate with customers to define the program's success criteria and opportunities for expansion; proactively track progress and adherence to success metrics
  • Lead meetings with customers to review individual project status and overall program health, based on defined success metrics 

Cross-Functional Collaboration & Proactive Management

  • Work closely with cross-functional teams including Sales, Data, Engineering, and Product to ensure alignment on customer requirements and product capabilities
  • Facilitate communication and collaboration between internal teams to drive swift resolutions of customer issues 
  • Provide regular program updates to management, including program health, risk mitigation plans, and to escalate unexpected events impacting project schedules 
  • Proactively identify opportunities for improvement to processes

Reporting & Documentation

  • Create and maintain project documentation, including project plans, status reports, customer knowledgebase, and meeting notes
  • Report on and track key project metrics, including portfolio activity, customer health, customer feedback, and insights to stakeholders ensuring transparency and alignment throughout the project lifecycle

About You:

Must Haves:

  • 5+ years of relevant project management or program management experience 
  • Bachelor’s degree in Healthcare, Science, or a related field (or equivalent related experience)
  • Role related experience within the pharma, biopharma or life sciences industry
  • Proficiency in customer and project management tools (Gainsight, Smartsheet, Jira or similar), and Excel
  • Self-starter, problem-solver mindset, with a strong ability to learn new technologies 
  • Strong communication skills including written, verbal and presentation, with demonstrated ability to manage concurrent complex programs in a dynamic, fast-paced environment
  • Highly organized and detail-oriented, while being flexible, and comfortable with ambiguity
  • Passion for improving the way people care for their mental and physical health
