Community Events Manager
The Community Events Manager is the creative and strategic lead behind our many offline events, including our customer workshops and cornerstone annual event, Klaviyo:BOS. Klaviyo:BOS (pronounced “Klaviyo Boston”) is our largest gathering (500+ attendees) of the Klaviyo community — last year we had 3 conference tracks, 30+ talks, and a super fun afterparty. You will own the planning, budget, entire project plan, logistics, promotional plans, and execution activities of all offline events and work with the Marketing team (and outside consultants) to create highly engaged and exciting experiences. And when we say engaged and exciting experiences, we mean it — our events continue to register industry-leading NPS scores of 80+ from our awesome attendees, with the last one clocking in at 94.
This role will be measured on community growth (# events, # attendees/event, # new users acquired/event), event quality (qualitative and quantitative (NPS)), community engagement/activity, and # of new advocates/brand evangelists per event. The ultimate goal is to leverage your strong program management and relationship-building skills to define and scale our events strategy to make our events the most memorable ones of their kind around. You will have one direct report. Travel is required, including a minimum of one week a month for at least six months a year.
Responsibilities
Manage the plan. You will build extremely clear, detailed and logical timelines associated with each event, prioritizing workflow each day and ensuring all associated deadlines and budgets are met on time.
Communication across the board. Communicate efficiently & effectively with “customers” (event attendees), speakers, guests, VIPs, and Klaviyo staff to ensure their questions are answered and their needs are met.
Being a strategic mastermind. As a key member of the marketing team, you will utilize a strategic mix of quantitative and qualitative customer insights to understand how best to create events that meet customer needs and continuously improve.
Knowing the promotion game. You’ll work to promote and evangelize all of our amazing events and craft an amazing promotional plan to ensure every event is filled.
Owning the budget and master project plan. You are comfortable owning the annual budgets for all Klaviyo offline events as well as the master project plan that clearly articulates all the details of a successful event.
Set the agenda. You will help craft our editorial agenda for our events to ensure a highly interesting and engaging event.

In the first 30 days, you’ll have:
- Produced, attended and recruited for at least one workshop
- Started implementing a project plan and budget(s) for future workshops and Klaviyo:BOS
- Created a master calendar for all remaining events of 2019, including Klaviyo:BOS.
- Mapped out an agenda framework for Klaviyo:BOS
- Launched a promotion plan for Klaviyo:BOS
Within 90 days, you’ll have:
- Led, organized and implemented two to three of our workshops
- Provided a template to help streamline the development of future events
- Helped secure ALL speakers for Klaviyo:BOS in Q3 of 2019
- Completely owned the master project plan for Klaviyo:BOS and remaining workshops for 2019
- Spoken to at least 30 customers to determine how we can continuously improve workshops and Klaviyo:BOS
- Defined an Events budget
Before you hit your first year anniversary, you’ll:
- Developed, managed and completed a legendary Klaviyo:BOS 2019
- Led whole year’s worth of workshops around the US
- Doubled our workshop attendance and sold out Klaviyo:BOS
- Implemented an event framework to be used for all future events in 2020 and beyond
- Evangelized our events across Klaviyo
About You
You are outgoing. Friendly. Hands on. Persistent. Creative. Easy to deal with. Willing to think quickly on your feet. Gets things done. High personal productivity. You see events as a key method to connect with our passionate community and make those bonds even stronger. You also can see the big picture while being totally comfortable in the nitty-gritty details of what it takes to manage a world-class event. Ideally, you have at least five years professional experience planning and producing events of all sizes, including wildly successful multi-day conferences for 500+ guests.
