Role Description
Matterworks is seeking an exceptionally organized, proactive, and detail-oriented Operations Associate to join our team and play a key role supporting our core business operations. Working with the VP of Operations and the Manager of Business Operations, you’ll help drive day-to-day workflows across people operations, office management, lab operations, and general administration. This is a dynamic, cross-functional role with exposure to every part of the company, including internal teams and external partners and vendors.
You'll receive mentorship and guidance, but candidates will be expected to take initiative, learn quickly, and work independently. The ideal candidate is both methodical and flexible in their approach to organization, provides exceptional operational support, and takes pride in delivering outstanding work. This is a great opportunity for someone excited to work in a fast-paced, early-stage startup and gain broad exposure to the operational challenges of building a business in an emerging scientific field.
Key Responsibilities

Drive people operations. You’ll work with hiring managers to build out interview processes, handle candidate communications, interview scheduling, and other logistics. You will provide an excellent onboarding experience for all new hires, maintaining standardized internal processes, tools, and playbooks related to people operations.

Own the employee workplace experience. The Operations Associate will be the point person for team support, handling internal communications and providing timely and professional service across all departments. This role is responsible for managing our space within Greentown Labs, including light office management, stocking supplies, and organizing.

Champion company culture. Plan and execute weekly, monthly, and quarterly team events and off-sites. Some of our current events include weekly team lunches, monthly happy hours, and quarterly team outings!

Support accounting and finance functions, including handling procurement requests and supporting month- and year-end book close by reviewing transactions for accuracy and handling credit card reconciliation and expense reporting.

Provide ad hoc support across departments including administrative tasks, organizing shipments, working with our external IT contractors, and other projects as needed.
About You

2+ years of experience in operations, people ops, office management, administration, or a related field

Exceptionally organized with excellent verbal and written communication skills

Able to manage multiple priorities and adapt quickly in a dynamic work environment

Thoughtful and people-oriented, with a high level of emotional intelligence

Proactive, resourceful, and committed to continuous learning and improvement

Takes initiative in building structure, streamlining workflows, and enhancing operational efficiency

Trustworthy and discreet when handling confidential and sensitive information
Nice to Have

Proficient with Microsoft 365, Notion, Slack, Airtable, Rippling, Ashby, Quickbooks, Ramp or similar tools

Familiar with basic procurement and accounting workflows (e.g. invoice processing, issuing purchase orders, 3-way matching)

Experience in a startup or high-growth environment

Given the cross-disciplinary and innovative nature of our work, in-person collaboration and communication are critical to our progress. While we operate in a hybrid model, we expect all roles to experience in-person collaboration with our team in Somerville, MA.
