Job Summary
The Operations Associate, Investor Relations will play a critical role in executing the firm’s investor reporting and client service initiatives. This role supports the Investor Relations team by managing quarterly reporting coordination, capital call and distribution execution, and day-to-day investor service. The individual will play a key role in ensuring timely and accurate investor deliverables through effective internal coordination, CRM and reporting tools management, and execution of investor communications. The role also contributes to diligence, fundraising, and broader IR initiatives, supporting high-quality engagement with investors and internal stakeholders.
The successful candidate will be a proactive and resourceful team player, comfortable working in a fast-paced environment and balancing multiple priorities. They will exercise sound judgment, possess strong communication and organizational skills, and demonstrate a commitment to accuracy, confidentiality, and collaboration.
Key Responsibilities
Client Service & Investor Reporting
- Manage internal coordination of the quarterly IR reporting calendar within CRM (InvestorFlow/Smartsheet), ensuring timely and accurate completion of all investor deliverables
- Execute capital call and distribution notices, including uploading transaction data, maintaining and updating notification templates, and posting notices to the investor portal
- Support the execution of quarterly investor reporting materials and broader IR initiatives as needed, including presentations, quarterly letters, PPMs, recurring data files and related investor requests
- Oversee the investor services inbox and respond to ad hoc investor inquiries, ensuring timely and accurate client service
Fundraising & Reporting
- Coordinate and complete institutional investor due diligence requests through content management system (DiligenceVault) as well as maintain the integrity of the content library
- Maintain the contents of Cabot’s fundraising data room and prospect permissions
- Organize and maintain investor records in the CRM, including subscription documentation and contact permissions as well as ability to produce accurate and reliable reports for internal and external stakeholders
Qualifications & Experience
- Undergraduate degree required
- 2-4 years of experience, preferably in client reporting, data analysis, or real estate financial services
- Strong analytical skills with proficiency in Microsoft Excel and queries
- Familiarity with CRM systems and/or investor portals and Smartsheet
- Excellent written and verbal communication skills with strong interpersonal abilities
- High attention to detail with the ability to manage multiple projects effectively in a fast-paced environment
Work Environment & Travel
- Primarily in-office professional work environment with ability to work remotely at manager’s discretion.
- Ability to remain in a stationary position (e.g., seated at a desk) for extended periods.
- Frequent use of computers and digital communication platforms.
