Role Summary:
The Onboarding Specialist is the first point of contact for new charter school clients in our expansion markets after they sign with our firm. This role ensures a smooth and professional transition by guiding school leadership and business managers through the implementation of accounting, payroll, and accounts payable systems, as well as compliance and reporting processes. The Onboarding Specialist acts as a project manager, trainer, and trusted advisor - building strong client relationships from day one and setting the stage for long-term success. 
 
This position is remote to candidates based in AZ, CA, CO, CT, FL, ID, NV, OR, SD, TX, UT and/or WA.

Responsibilities

  • Client Onboarding & Implementation
  • Serve as the primary contact for new school clients during the onboarding phase
  • Lead kickoff meetings to establish timelines, deliverables, and expectations
  • Gather, review and validate client data (e.g., chart of accounts, payroll records, contracts, compliance calendars)
  • Coordinate setup and configuration of financial and payroll systems (Sage Intacct, Inova, Edstruments or equivalent)
  • Ensure proper mapping to state-specific requirements (e.g., Florida DOE Chart of Accounts, FEFP funding, Title I/IDEA compliance).
  • Facilitate weekly check-in meetings with new clients to provide guidance, answer questions, and support a smooth transition through process refinements

  • Training & Knowledge Transfer
  • Train school leaders and staff on new systems, processes, and workflows
  • Develop and deliver written guides, checklists, and resource materials to support successful client adoption and independence

  • Project Management & Communication
  • Track onboarding milestones, deliverables, and deadlines, escalating risks proactively as needed
  • Collaborate with internal teams (payroll, accounts payable, accounting, compliance) to ensure seamless handoffs and coordinated execution
  • Keep clients informed through regular progress updates, status reports, and clear next steps

  • Demos & Pre-Sales Support
  • Conduct tailored demonstrations of accounting, payroll, and accounts payable platforms for prospective clients
  • Highlight features, workflows, and compliance advantages relevant to charter school operations
  • Partner with the sales team to address technical and process questions, reinforcing client confidence prior to contract execution
  • Capture and share feedback from demo sessions to inform product enhancements and onboarding resources
  •  
  • Relationship Building
  • Build and maintain trusted relationships with clients by demonstrating expertise, responsiveness, and empathy for the unique challenges of charter schools
  • Identify opportunities to streamline processes, improve service delivery, and enhance the overall client experience

Requirements

  • EDUCATION:  Bachelor’s degree in Accounting, Finance, Business Administration, Education, or related field (or equivalent experience).

  • EXPERIENCE:
  • 3+ years of experience in charter school operations, business management, accounting, or client services
  • Strong knowledge of charter school funding models, compliance requirements, and payroll practices preferred
  •  
  • KNOWLEDGE OF:
  • Purposes, methods, and practices of client onboarding, transitioning and record keeping
  • Intermediate Microsoft Office (Word, Excel, Outlook) skills
  • Proper and effective use of English grammar and communication skills (oral and written)
  • Ability to effectively listen to and empathize with customers
  • Learn the appropriate rules, regulations and technical procedures specifically related to charter schools and non-profit payroll
  •  
  • Candidates must also have the ability to:
  • Align with Charter Impacts core beliefs and business philosophy
  • Manage multiple projects, clients, and timelines effectively through strong project management and organizational skills
  • Clearly explain financial and technical information to diverse, non-finance audiences using strong communication and interpersonal skills
  • Effectively use financial/accounting software (e.g., Sage Intacct, Inova, ADP, etc.) as well as Microsoft and Google productivity tools to perform daily tasks efficiently
  • Maintain, encourage and participate in a close and highly collaborative team environment with clients and Charter Impact staff
  • Adapt quickly to change
  • Understand and carry out directions in an independent manner
  •  
  • Experience with the following is a plus:
  • Sage Intacct Accounting
  • Any third-party payroll database experience, such as ADP, Paychex, Intuit
