Simply Dental is seeking an experienced Office Manager to oversee the daily operations of our patient-focused orthodontic practice. You’ll be joining an experienced team in a well-established practice with strong systems and operational support already in place. 

This role plays a key leadership position within the practice and works closely with the Dentist, clinical team, and leadership to support schedule efficiency, treatment starts, patient experience, and overall practice performance. 

This role has a set schedule working our of two of our offices in Greater Worcester, MA. 

Schedule: Monday - Friday 7:45 am - 5 pm

Responsibilities

  • Oversee day-to-day operations of the office to ensure an organized, efficient, and patient-centered environment  

  • Lead and support front office, treatment coordination, and administrative team members while fostering a positive, collaborative, and high-performing team culture  

  • Manage and optimize the schedule to support efficient patient flow, maximize provider productivity, and create a seamless patient experience across consultations, adjustment appointments, emergencies, and retention visits  

  • Support new patient consultation flow and treatment start goals by partnering closely with the Treatment Coordinator and Dentist to ensure a best-in-class patient experience  

  • Oversee insurance verification, billing processes, and patient financial communication to ensure accuracy, transparency, and a positive patient experience  

  • Run and review key practice reports to monitor scheduling efficiency, production, collections, treatment starts, case acceptance, and overall office performance  

  • Review and confirm employee timecards, hours worked, and PTO to ensure accurate payroll submission  

  • Coach and support team performance, helping maintain accountability, consistency, and exceptional customer service standards throughout the office  

  • Collaborate closely with the Dentist and leadership team to support office goals, patient satisfaction, and overall practice growth  

  • Participate in weekly and monthly meetings to review KPIs, discuss operational opportunities, and stay aligned on practice goals

Qualifications
  • Prior management experience is required 

  • Hands-on experience with dental insurance processes, billing, and patient financial coordination is preferred 

  • Proven ability to lead and support front office and administrative teams in a fast-paced environment  

  • Experience managing HR-related matters within the office, including timecards, PTO tracking, and team accountability  

  • Strong organizational, communication, and problem-solving skills  

  • Experience managing provider schedules and supporting efficient patient flow in a high-volume practice setting is preferred 

  • Ability to review and interpret practice performance reports, including production, collections, treatment starts, scheduling efficiency, and case acceptance metrics  

  • Experience with orthodontic/dental practice management software preferred
