CTP is looking for an Office Management Intern.

If you’re someone who notices when the coffee is running low, enjoys making a space feel welcoming, and gets excited about planning a fun office activity, this could be a great fit.

You’ll get hands-on experience in office operations, event planning, vendor coordination, and creating a great workplace experience. Because this role touches nearly every part of the agency, you’ll also have a unique opportunity to get to know people across CTP, learn what different teams and disciplines do, and build relationships throughout the agency. We’ll encourage you to be curious, ask questions, and take advantage of opportunities to learn more about the work happening around you.

In this role, CTP is looking for someone who will contribute to our agency’s success by: 

  • Keeping the office stocked with coffee, cold brew, creamers, milk, snacks, beverages, and other essentials.
  • Monitoring office supplies and food inventory and replenishing items as needed through approved purchases or delivery orders.
  • Helping coordinate office lunches, receiving deliveries, and making sure food gets where it needs to go.
  • Assisting with planning and executing agency events, celebrations, team activities, seasonal activities, and other fun ways to bring the agency together.
  • Helping create a welcoming, energetic office environment, including curating and managing the office playlist.
  • Keeping the kitchen, refrigerator,  and shared spaces clean, organized, stocked, and welcoming.
  • Helping ensure conference rooms, shared technology, and common areas are set up and ready for use.
  • Completing basic office opening and closing procedures and helping maintain a comfortable, well-functioning office throughout the day.
  • Receiving and locating office deliveries and communicating with building staff or vendors when needed.
  • Identifying maintenance, technology, or office issues and connecting with the appropriate CTP team member to resolve them.
  • Making approved office purchases and maintaining receipts and documentation for company-card purchases.
  • Pitching in wherever needed to help make the office a great place to work.


Qualifications:
 

  • Ability to work in our Boston office on Tuesdays and Wednesdays, for a total of 16 hours per week.
  • Highly organized and dependable, with strong attention to detail.
  • A proactive, can-do attitude and willingness to jump in wherever needed.
  • Friendly and comfortable interacting with coworkers, vendors, delivery people, and building staff.
  • Creative and enthusiastic about planning events, activities, and experiences that bring people together.
  • Curious about people and interested in learning about the different roles and teams within an advertising agency.
  • Ability to manage multiple small tasks and priorities throughout the day.
  • Strong communication skills and good judgment.
  • Comfortable working independently and taking ownership of responsibilities.
  • Comfortable using basic workplace technology and learning new apps and systems.
  • Previous experience in an office, hospitality, event planning, retail, administrative, or customer-service environment is a plus, but not required.
  • A sense of humor, a collaborative spirit, and appreciation for good coffee are strongly encouraged.

Please note, all employees are required to be in-office at our CTP location on Tuesdays and Wednesdays. 

This is a paid internship at $15 per hour, with an expected schedule of 16 hours each week.
