Provide front-desk reception, phone and email handling, mail and supply management, scheduling, filing, basic bookkeeping, onboarding support, vendor coordination, and general administrative assistance to keep the office organized and operational.
We are seeking an organized and dependable Office Assistant to support daily office operations. This role involves a mix of administrative, clerical, and light facilities tasks to help keep the workplace running smoothly.
Key Responsibilities
- Greet visitors and manage front-desk or reception duties
- Answer and direct phone calls and emails
- Sort, distribute, and process incoming/outgoing mail and packages
- Maintain office supplies inventory and place orders as needed
- Schedule meetings, manage conference room bookings, and prepare meeting materials
- Assist with filing, document organization, and basic record-keeping
- Support HR or operations with onboarding paperwork and logistics
- Coordinate with vendors and service providers (cleaning, maintenance, IT, etc.)
- Maintain a clean, organized, and professional office environment
- Assist with data entry and basic bookkeeping tasks
- Provide general administrative support to staff and management as needed
Required Qualifications
- High school diploma or equivalent (Associate's degree a plus)
- Prior experience in an administrative, clerical, or office support role
- Strong organizational and multitasking skills
- Proficiency with Microsoft Office or Google Workspace
- Excellent verbal and written communication skills
- Professional demeanor and strong interpersonal skills
- Punctual and reliable with strong attention to detail
Preferred Qualifications
- Experience with office management software or scheduling tools
- Basic knowledge of bookkeeping or invoicing
- Familiarity with HR onboarding processes
