At Wellframe, we’re helping healthcare organizations fill this gap, so people can get the holistic resources and support they need to feel their best, outside traditional care delivery settings. Through our patented platform, Wellframe translates evidence-based, peer-reviewed guidelines and literature into an interactive daily checklist delivered to patients through the Wellframe mobile app. As patients engage with the Wellframe app, their data is shared in real time with their care team through the care team dashboard, which utilizes advanced algorithms to generate early intervention alerts. With secure two-way messaging, Wellframe facilitates long-term, trusted relationships between patients and care teams.

The Wellframe Field Marketing Coordinator will help fuel business growth by planning and executing all sponsored, hosted and virtual events, as well as owning our direct mail channel and branded merchandise for prospects and customers. The right candidate will be highly organized, creative and motivated. This position sits within marketing and reports to the Director of Demand Generation.

Areas of Responsibility:

Sponsored Events (30%)

  • Own all logistical details of sponsored events and conferences. This includes: working with in-house designer on booth design and layout, ordering and shipping collateral/swag, arranging travel plans for Wellframe attendees as needed, working with the head of demand gen on promotional & follow-up strategy, and enabling the sales team for successful conversations during and after each event.
  • Help identify future events to attend/sponsor to drive awareness and lead generation.
  • Report on event success to internal stakeholders.

Plan, organize and execute ~4-6 field marketing events per year such as happy hours, dinner/lunch events or group activities (30%)

  • Research and evaluate potential venues, dates and times, and make recommendations.
  • Select menus and activities.
  • Identify potential guest speakers and work with internal stakeholders to request participation/attendance.
  • Arrange travel plans for Wellframe attendees and any guest speakers as needed.
  • Work with the head of demand gen on attendee recruitment & follow-up strategy.
  • Enable sales team for successful conversations before, during and after each event.
  • Report on event success to internal stakeholders.

Own all logistical details of 6-10 virtual events per year such as webinars and roundtable calls (20%)

  • Set up events in webinar platform (currently ON24).
  • Recruit potential speakers.
  • Arrange webinar/call rehearsals.
  • Work with marketing operations to set up landing page and on-demand page.
  • Run webinar/call session on day-of event, introducing speakers, fielding audience questions and assisting with any technical issues.
  • Report on event success to internal stakeholders.

Direct Mail (20%)

  • Generate new ideas for Wellframe branded merchandise and direct mail deliverables.
  • Request and evaluate bids and samples from third party vendors.
  • Work with in-house designer to ensure Wellframe design and branding standards are upheld with each item ordered.
  • Create contact/address lists for campaigns and verify mailing addresses.
  • Work with marketing operations to ensure recipients are properly tracked in CRM and/or marketing automation platform.
  • Request shipping bids and select vendor.
  • Collect tracking details and inform internal stakeholders of delivery dates.
  • Follow up and resolve issues with vendors on undelivered packages.

Education, Experience, & Skills Required:

  • 1-3+ years of experience coordinating and attending conferences and/or hosted events.
  • Experience working with third party vendors, requesting bids and negotiating prices.
  • Experience working with a B2B sales team.
  • An organized approach to daily planning and task management.
  • Excellent written and verbal communication skills.
  • Experience with or a willingness and ability to quickly learn new technology such as Salesforce, Marketo, ON24, LinkedIn and ZoomInfo.
