THE OPPORTUNITY
We are looking for a highly organized, resourceful, and hands-on Marketing Operations Manager to help keep the marketing team running efficiently as we scale.
This is not a passive project management role. This person will serve as a flexible resource across the marketing organization, helping to manage priorities, unblock dependencies, coordinate across teams, and take on the initial work needed to move projects forward. They will help turn ideas into organized plans, make sure the right people are involved at the right time, and reduce the amount of senior time spent on administrative drag, vendor sourcing, and follow-up.
This role is ideal for someone who is highly proactive, comfortable in ambiguity, and energized by being the person who makes things happen. The right candidate is not just organized, they are a doer. They know how to gather inputs, move decisions forward, chase down loose ends, and create momentum for the team.

What You'll Do

Project Management & Execution Support

  • Own timelines, project plans, follow-ups, and next steps across key marketing initiatives.
  • Keep priorities, dependencies, and deliverables organized across multiple workstreams.
  • Proactively identify blockers, chase down missing inputs, and keep projects moving.
  • Take on first-pass work for new initiatives so senior team members can focus on final decisions and high-value execution.
  • Help turn rough ideas into structured plans, briefs, and action items.

Cross-Functional Coordination

  • Coordinate with internal stakeholders across sales, operations, creative, brand, content, and paid media.
  • Help sequence launches, campaigns, events, and location openings so work happens in the right order.
  • Make sure communication between teams is clear, and that important follow-ups do not get dropped.
  • Support ad hoc cross-functional projects that need a strong operator to keep them moving.

Vendor, Agency, and Consultant Support

  • Research and vet agencies, freelancers, consultants, and tools as needs come up.
  • Narrow options, gather pricing and scope, and bring back clear recommendations to leadership.
  • Save the team time by doing the upfront legwork instead of requiring senior leaders to meet with every possible vendor.
  • Help coordinate onboarding and project setup once external partners are selected.

Team Operations

  • Help maintain the team's operating cadence, including planning meetings, workback schedules, project trackers, and status updates. 
  • Keep project management tools and workflows organized and up to date.
  • Support the team in making sure work is prioritized appropriately and shipped on time.
  • Help create lightweight systems and processes that improve execution without adding unnecessary overhead.

Leadership Support

  • Prepare updates, summaries, materials, and recommendations for senior marketing leadership.
  • Help surface tradeoffs, timing risks, and open questions before they become bigger issues.
  • Reduce the amount of time senior team members spend on status chasing, prep work, and administrative follow-through.
WHAT YOU'LL BRING
  • 2 to 5 years of experience in project management, marketing operations, account management, chief of staff support, coordinator roles, or similar operational roles in a fast-paced environment.
  • Strong organizational skills and exceptional follow-through.
  • A proactive, ownership-minded attitude. You do not wait around to be told every next step.
  • Ability to manage multiple workstreams at once without losing detail.
  • Strong written and verbal communication skills.
  • Comfort working across teams and following up with a wide range of stakeholders.
  • Ability to operate in ambiguity and bring structure to messy situations.
  • Experience with project management and collaboration tools like Monday, Asana, ClickUp, Notion, Jira, or similar.

NICE TO HAVE

  • Experience in a marketing, creative, startup, or agency environment.
  • Familiarity with demand generation, campaign planning, go-to-market execution, or lifecycle marketing.
  • Experience researching and coordinating with agencies, freelancers, or consultants.
  • Familiarity with HubSpot or similar CRM and marketing systems.
  • Experience in real estate, multi-location businesses, or SMB-focused businesses.
