Primary Purpose of Position:

  • Support the Investor Relations and Finance Departments.  As needed, provide support and special project assistance to the Executive Team
  • Responsible for coordination and logistics related to Investor Relations including conferences, investor meetings, property tours, roadshows and quarterly earnings announcements
     

Essential Functions:

  • Fielding incoming emails and calls from analysts and investors, responding to meeting and information requests as appropriate 
  • Coordinate IR meetings, conference calls, property tours etc. 
  • Attend weekly department meetings, document and update list of action items throughout the week 
  • Manage and track IR calendar of tours and meetings and distribute to executives weekly
  • Assemble presentations, distribute research to management and IR team, coordinate audio/visual details, coordinate webcast details, create analysis reports of meeting targets 
  • Create and update presentations in PowerPoint, including charts, tables, graphs, etc. and maintain the Quarterly Investor Presentation process 
  • Distribute press releases over Businesswire and ensure materials are posted to the website and distributed to investors and analysts in a timely manner 
  • Coordinate content updates to Investor Relations website 
  • Assist in the planning, preparation and execution of major company events, including Investor/Analyst Day 
  • Reply to e-mails from the company’s IR website or direct them to the appropriate department 
  • Coordinate travel to IR events for Executive Team 
  • Process invoices, check requests, expense reports and other interoffice forms 
  • Assist with oversight of the budget process for IR department 
  • Assist in accumulating current data from market reports 
  • Assist in the preparation of management’s speaking engagements, conferences, and “One on-One” investor meetings (to include presentation preparation, agendas, graphics, biographies and travel arrangements) 
  • Coordinate property tours for all regions, including coordinating with investors, analysts and regional management teams and managing supporting materials 
  • Research background on investors and analysts, track all meetings and property tours and maintain an accurate list of institutional investors, sell side analysts and prospective investors using Investor Relations CMS 
  • Oversee, track and ensure timely fulfillment of information requests through web site Investor Relations email account and IR Hotline. Maintain inventory of materials and distribution lists
  • Assist with creation and distribution of Annual Report 
  • Assist in the coordination of the company’s quarterly earnings conference call including the dissemination of the press release and supplemental to the public and existing shareholders, in accordance with the rules and regulations of Regulation FD 
  • Assist in various department and general office projects such as preparatory work for the Board Meetings 
  • Draft, coordinate and publish content for LinkedIn and internal Company communication platforms, supporting Investor Relations and broader corporate communications initiatives.

Non-Essential Functions:

  • Assist department by updating internal reports. 
  • Participate in the preparation and assembly of Financing Request Proposals 
  • Perform other duties or support, as assigned 

Requirements and Qualifications:

  • BA/BS degree. 
  • Minimum of 3-5 years of progressively responsible experience required, preferably in an investor relations department 
  • Related business/industry (real estate finance) experience preferred 
  • Exceptional and professional email and phone etiquette, along with excellent written, verbal and interpersonal communication skills 
  • Strong organizational skills with ability to set priorities, manage multiple simultaneous projects and meet deadlines 
  • Ability to work independently and achieve results, as well as contribute as part of a team 
  • Ability to interface effectively with all departments of the company and to represent the company in a highly professional manner 
  • Strong oral and written communication skills 
  • Strong project management skills and familiarity with event planning 
  • Adaptability to changing demands 
  • Ability to produce quality work with attention to detail in a consistent manner 
  • Ability to work under pressure and within time constraints 
  • Demonstrated analytical skills 
  • Proficiency with Microsoft Office products to include Outlook, Word, Excel and PowerPoint, required 
  • Flexibility with work schedule and ability to work beyond regular business hours on request
  • Ability to travel for events if necessary

Physical Requirements:

  • Involves work of a general office nature usually performed sitting such as answering the phone and operation of a computer 
  • Involves work of a general office nature usually performed standing such as operation of a photocopier and a fax machine 
  • Involves movement between departments to facilitate workflow 
     

Internal and External Contacts:

Interacts both verbally and in writing internally with all levels of employees and externally with a variety of audiences to include: Portfolio Managers, Investment Management firms, commercial real estate brokers, legal counsel, media, NYSE, and stock surveillance firm 
 

Reporting Structure:

  • Reports directly to the VP, Investor Relations, who provides oversight and supervision

Reporting Structure:
