Job Title: Human Resources Coordinator
Department: Human Resources
Reports To: Human Resources Manager

The Human Resources Coordinator provides comprehensive administrative and operational support for the MSBA’s Human Resources functions. The position reports to the Human Resources Manager and supports recruitment, onboarding, off boarding, maintains accurate employee records, coordinates benefits and leaves administration, communicates changes in support of payroll processing, ensures compliance with employment policies and applicable laws, and responds to general employee inquiries. The HR coordinator helps coordinate employee engagement initiatives including coordination of training, maintains HR systems and documentation, prepares draft communications, tracks and monitors operational reports and supports the implementation of HR programs, goals and objectives. 

Essential duties and responsibilities

    • Perform general HR administrative tasks, including filing new hire folders and maintaining organized personnel records. 

    • Provide prompt and timely responses to all forms of employee inquiries including changes and updates. 

    • Provides recruitment support including screening candidates, coordinating interviews, and maintaining clear communication throughout the hiring process. 

    • Support recruitment activities including career fairs and recruitment outreach activities. 

    • Coordinate administration of benefits including employee benefits packets, enrollments, changes and terminations. Assists with annual open enrollment communications, informational presentations and overall distribution of benefits information. 

    • Ensure invoices are properly processed by reconciling service invoices for HR Manager review and submitting them to the Accounts Payable department for processing. 

    • Review employee files for accuracy during the onboarding process, ensuring both online and physical records are complete and properly maintained. 

    • Process employee terminations and ensure departing staff receive all necessary information regarding their position and separation. 

      • Provide HR team to support with event coordination such as training and employee engagement initiatives.  

      • Ensures policies and procedures are adhered to regarding the administration of leave of absence and ADA accommodations, supporting compliance and consistent application across the agency. 

      • Performs related work as required. 

Required Education and Experience

    Associate's Degree in Human Resources, Labor Relations, Public Administration, or related field (HR); Business Administration with 1 to 3 years' experience in human resources administration, recruitment, training and benefits. 
     

    Knowledge of: 

    • Multiple applicant tracking systems (ATS), performance management tools, and training platforms, supporting efficient recruitment and employee development processes. 

    • Federal and state employment laws, ensuring HR practices align with regulatory requirements and organizational policies. 

    • Federal and state leave and accommodation laws, including processes related to FMLA and ADA, to support consistent and compliant administration. 

    • Microsoft Suite of applications, enabling effective document creation, data management, communication, and workflow coordination. 

    • Skill in: 

      • Providing highquality customer service, responding to inquiries with professionalism, clarity, and a solutionsfocused approach. 

        • Public speaking, delivering information confidently and engagingly to groups of varying sizes. 

        • Communicating clearly via email and in person, ensuring messages are accurate, timely, and appropriate for diverse audiences. 

        • Offering clear instruction, guidance, and support to help employees build competence and confidence. 

        • Active listening and coordinating tasks, enabling smooth collaboration, efficient workflow management, and strong team support. 

        • Ability to: 

          • Maintain confidentiality by keeping sensitive information private, ensuring trust, professionalism, and compliance with organizational standards. 

          • Track and organize employee information and certifications, maintaining accurate, uptodate records that support operational and compliance needs. 

          • Respond to requests in a timely manner, providing efficient support and maintaining strong working relationships across the organization. 

          • Coordinate and facilitate events, managing logistics, communication, and execution to ensure successful outcomes.
