Human Recourse Business Specialist:  Promotes the mission and core values of the communities and LCB Senior Living to residents, visitors, & associates. Reporting to the Director of Human Resources Operations. The Human Resources Business Specialist (HRBS) will support communities on HR and the Business Office as it relates to guidelines, policy and procedures, risk management, and even census improvement where needed. The HRBS will assist communities in organizing and directing all functions of the business office, lead HR support and tasks. Responsibilities may include managing accounts payable and receivable for resident accounts and vendors, coordinating pay arrangements, administering HR policies and procedures, leading HR conversations and processes, leading payroll, participation in budget preparation and planning, variance and VLT reporting, learning and QA where needed.

As a HRBS, you may be responsible for filling in where needed in the event there is a vacant Business Office position.  Leading and oversight of HR processes for a minimum of 3 communities. Other responsibilities include on-boarding new Business Office Directors, assisting with coaching and learning of existing Business Office Directors, supporting new community openings, supporting and learning on new systems and procedures, and assisting with special projects relating to the Human Resource and Accounting departments. As you will have office days this position requires you to also work in communities as well. You must be able to travel to multiple locations which may require overnight stay(s).

Qualifications

SKILLS AND QUALIFICATIONS: (These qualifications meet or exceed NH, MA, CT, RI, VT, NJ and PA State specific requirements.)

Knowledge, Skills and Abilities:

Must have knowledge of receivables and collections, general bookkeeping, workers compensation, FMLA, Human Resources, wage and overtime laws and payroll functions. Requires the ability to work with department leaders to ensure appropriate paperwork is completed and procedures are followed. The ability to communicate effectively in English both orally and in writing is essential. Must have good organizational and interpersonal skills. 

Experience:

Requires three or more years of experience in a business office leadership or HR leadership, which includes accounting, payroll and/or human resources responsibilities. 

Computer Skills:

Computer knowledge essential.

 

This position requires regular travel to multiple community locations, which may include overnight stays as needed. Flexibility and willingness to travel are essential to support communities effectively and fulfill the responsibilities of the role.

 

ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES:

The essential duties and responsibilities described below are representative of those associate encounters while performing the basic functions of this position.   1. Promote the mission and core values of the Residence and LCB Senior Living to residents, visitors, and associates.
  2. Serve as the primary HR partner to Executive Directors and Regional/Operational leaders.
  3. Provide guidance on associate performance, culture, retention, engagement, and leadership development.
  4. Proactively communicate and consult with the Director of HR Operations on issues related to Human Resources.
  5. In partnership with RHRD/DHRO, develop and communicate Human Resources policies and procedures which are in compliance with applicable laws and regulations.
  6. Respond to and investigate associate relations issues such as associate complaints, harassment allegations, and civil rights complaints, working with the legal department for direction as appropriate.
  7. Coach and counsel communities regarding associate accountability processes.
  8. Facilitate and/or provide learning (including orientation) to both community department leaders and the broader workforce as necessary. This would include, among other things, learnings to frontline staff recruiting, pre-employment screening, use of LCB Senior Living systems like Paycom, vendors and policies and procedures.
  9. Assist with execution and coordination of associate recognition programs. 
  10. Assist in onboarding of new communities, to include policy review, benefit discussions, and ensure completion of associate screenings and backgrounds.
  11. Assist with processing of associate concerns which will include, among other things, conducting investigations and interviewing relevant staff and others.
  12. Review community compliance with LCB Senior Living policies.

Support the LCB Culture.

2.

Perform all duties and responsibilities with a positive attitude.

3.

Coordinate new BOD’s onboarding schedule with accounting, payroll, HR, BOS and Senior BODs.

4.

Ensure onboarding schedule is being followed throughout new BOD onboarding. Monitoring the check list sign off sheet.

5.

Train new and existing BODs in person or virtually as needed.

6.

Assist with re-learning of any BOD in need of additional support.

7.

Partner with Accounting, Payroll and HR to develop, implement, and train BODs on new programs and systems.

8.

Maintain confidential information regarding other communities’ payroll and resident related information.

9.

Ensure the business office and reception areas operate in accordance with corporate policies, procedures and State and local regulations.

Interpret company policies and procedures for associates, residents, family members, visitors, etc.

When covering a community BOD vacancy, HRBS will be responsible for BOD functions up to an including, but not limited to:

    • Organize, direct, and supervise all business office functions in conjunction with department leaders.
    • Requisition adequate supplies and equipment for the community while ensuring that all selected vendors are price competitive.
    • Ability to collect data, analyze, and provide information/reports to Operations or the support office to facilitate billing and compilation of financial reports.
    • Full understanding of community benefit programs such as health insurance, and all other benefits, and management/enrollment of such in HRIS.
    • Managing leaves of absence.
    • Managing Worker Compensation claims and OSHA Log/reporting
    • Verify each department is maintaining logs of resident’s charges.
    • Copy and file checks received from residents and make a deposit daily.
    • Utilize Yardi system to ensure collection of accounts on a timely basis and report on

Performs QA as it relates to the job responsibilities of a Business Office Director and HR Operations.

13.

Reports any concerns to the Director of Human Resources and respective parties.

14.

May perform other duties as assigned.
