Human Resources Assistant
The Human Resources Assistant provides administrative and operational support to the Human Resources team. This part-time role, 20 hours per week, will be responsible for providing a high level of customer service and performing a range of critical HR activities requiring exceptional organization, attention to detail, and sound judgment. Reporting to the Director of HR Operations & Engagement, the HR Assistant works in tandem with the HR Coordinator to provide both generalized and specialized assistance in a wide range of activities, supports the adjunct faculty hiring process, maintains the I-9 verification process and HR records, and contributes to HR workforce initiatives through various duties as assigned.
Administrative Support
- Provides administrative support for recruitment, onboarding, employee relations, benefits and performance management activities.
- Maintains electronic and paper personnel files while ensuring accuracy and confidentiality.
- Processes confidential employee transactions, ensuring completeness and accuracy of data.
- Processes invoices and other financial transactions.
Recruiting & Onboarding
- Facilitates the adjunct faculty hiring workflow process.
- Ensures that new hire paperwork is complete, processed in a timely manner, and appropriately filed, including contracts and the background check process.
- Ensures Form I-9 completion for adjunct faculty, Fellows, and full-time employees.
General HR Support
- Serves as professional first point of contact for employee questions.
- Assists with employee recognition and engagement initiatives.
- Ensures compliance with applicable employment laws, policies and regulations.
- Performs other duties as assigned
Required:
- Associate’s or Bachelor’s degree preferred, preferably in human resources, business administration, or related field.
- Minimum of 2 years of experience in an office setting; experience in human resources is preferred.
- High level of skill in handling sensitive and confidential situations/information with the demonstrated ability to maintain strict confidentiality.
- Advanced attention to detail and ability to be highly organized required.
- Strong interpersonal skills with ability to work with people at all levels of an organization.
- Effective oral and written communication skills.
- Demonstrated ability to exercise good judgement and to triage situations as they arise.
- Must be proactive, a critical thinker, collaborative, and a great team player.
- Skilled with Microsoft Office, (Word, Excel, PowerPoint) and some experience with databases.
Physical Requirements:
- Typical office or administrative working conditions. Staff is not exposed to adverse environmental conditions. Work is primarily sedentary in nature; there are no special physical demands.
