JULY offers a unique opportunity to own payroll, human resources (HR), and HR information systems (HRIS) operations for a U.S.-based company of 240+ employees (EEs) and growing. Working closely with HR leadership, you will become JULY’s internal HRIS subject matter expert — owning system data management, user access, organizational hierarchy, reporting, auditing, and compliance — while generating the reporting and analysis that drives data-driven decision making.

Initially, your time will be spent learning to generate and audit accurate, timely payroll independently. Over time, you will expand into HRIS ownership, benefits and leave administration, and process optimization across the HRIS (Paycom) platform. This role is ideal for a self starter with a passion for HRIS looking to grow a career in U.S. HR operations and HR Information Management (HRIM).

Payroll Operations

  • Process timely, accurate, and compliant payroll for 240+ EEs across 29+ states for both salaried and hourly populations
  • Fund semi-monthly retirement plan contributions to 401(k) plan software
  • Research federal, state, and local employment regulations to ensure legally compliant payroll actions and leaves of absence (LOA)
  • Monitor off-cycle payments including garnishments, adjustments, and other manual items for accuracy, timeliness, and applicable communication with EEs, HR, and Accounting
  • Prepare and submit complex government reporting requirements and requests within tight deadlines
  • Audit HRIS details to confirm earnings, deductions, accruals, and labor allocations function as intended
  • Respond to time-sensitive unemployment claims, employment verifications, and Paycom compliance requests

HRIS Ownership & Analytics

  • Serve as JULY’s internal HRIS subject matter expert, optimizing Paycom utilization across all modules — Talent Acquisition, Benefits Administration, Position Management, Performance Management, Talent Management, EE Self Service (ESS), Tax Center, and Garnishments — to strengthen data driven decision making
  • Generate HRIS reports and deliver analysis, summarization, and insight using advanced Excel skills (lookups, pivot tables, formulas) and AI tools
  • Own HRIS user access and permissions management, system configuration changes, and validation of system updates
  • Prepare reports and analysis supporting annual compensation reviews
  • Streamline and document HRIS and payroll procedures
  • Respond timely and accurately to HRIS inquiries from EEs and leadership

Accounting Partnership

  • Own the payroll-to-general-ledger mapping — pay types, deduction and benefit codes, employer taxes, and labor allocation tags — and the accuracy of entity, business line, and department coding on every HRIS action
  • Partner with Accounting to provide data for payroll journal entries, supporting reconciliation, and labor allocation detail pertaining to payroll accruals, PTO liability, and benefit cost allocation
  • Maintain JULY’s multi state employment tax registration matrix — tracking withholding and unemployment registration requirements triggered by hires, relocations, and acquisitions, maintaining annual rate updates, and notifying Accounting of first time activity in a new location
  • Own resolution of employment tax agency notices end-to-end, escalating exposure items to Accounting
  • Own payroll support for JULY’s 401(k) plan audit and Form 5500 — census data, eligibility determinations, and compensation definition accuracy

Benefits & Leave Administration

  • Administer leaves of absence (LOAs) in compliance with federal, state, and local regulations and company policy, communicating clearly with EEs and leadership on process, forms, benefits, and expectations
  • Ensure timesheet completion and accuracy for LOAs, running paid time off options concurrently with Family and Medical Leave Act (FMLA)
  • Lead benefits open enrollment cycle from plan build to post enrollment auditing
  • Support the execution and administration of JULY’s benefit plans including JULY’s self funded plans, fully funded plans, savings accounts, ancillary plans, and 401(k), utilizing HR vendor systems 
  • Review Qualifying Events (QE) for eligibility, documentation, and deadlines for timely payroll submissions
  • Reconcile benefits invoices by comparing carrier billing statements to EE payroll deductions and HRIS enrollment data, researching and clearing variances with Paycom, JULY’s Accounting team, and HR vendors

EE Lifecycle & Team Leadership

  • Serve as the escalation resource for the HR Operations Specialist
  • Own execution of EE onboarding and offboarding processes, reviewing Paycom Personnel Action Forms (PAFs) for people changes and position movement
  • Mentor the HR Operations Specialist: share HRIS knowledge, review work, and coach for career development
  • Build internal client relationships that contribute meaningfully to EE satisfaction and EE Net Promoter Score (eNPS)
Our Needs…
  • Bachelor’s degree or equivalent experience in HRIS, payroll, and/or HR operations
  • 2+ years of experience in U.S. HR operations, specifically payroll and HRIS
  • 2+ years processing U.S. payroll across multiple states using an HRIS
  • Prior experience training, coaching, or mentoring junior team members
  • Strong knowledge of HRIS and/or payroll system logic with demonstrated HR technology competency
  • Advanced Excel skills — building lookups, pivot tables, and formulas from scratch
  • Proven use case development with AI tools
  • Consultative approach to internal client service
  • Excellent time management across multiple time zones, with overlap to South Africa (7:00 a.m. – 4:00 p.m. CT)
  • Precise organizational skills and attention to detail with a high level of accuracy
  • Proactive, resourceful problem solver who needs minimal oversight
  • Clear and professional verbal, non-verbal, and written communication skills
  • Willingness to learn and the agility to pivot as priorities shift
