Job Description

This is an in-office role (5 days/week in office) and is based out of our Auburndale, MA office.

This role coordinates global front-of-house operations for Informa TechTarget while liaising between the Support Center of Excellence (CoE) leadership and Informa Group PLC's FOH Operations teams. Our ideal candidate demonstrates proven property management expertise alongside global coordination proficiency to deliver excellence in facilities management, office administration, property oversight, and comprehensive administrative support across our international locations. 

Key Responsibilities 

 Global Facilities Coordination 

  • Serve as the primary liaison between Informa TechTarget offices and Informa Group PLC's FOH Operations team, ensuring alignment with and understanding of Informa Group's established protocols, standards and points of contact. 

  • Implement and maintain standardized front of house protocols across global locations, while serving as a key recommender of best practices and coordinating with Center of Excellence (CoE) leadership to ensure operational excellence and consistency worldwide. 

  • Establish proactive communication channels with other Informa TechTarget FOH Operations specialists to promptly address maintenance concerns, implement preventative measures, and uphold rigorous workplace safety standards in compliance with organizational policies and regulatory requirements. 

Office Management & Administration 

  • Orchestrate comprehensive daily office operations, uphold security protocols, and administer visitor management systems in accordance with established global standards and best practices, ensuring consistent operational excellence across all facilities. 

  • Serve as the dedicated Operating Administrator for the meeting room booking system, developing specialized expertise in room amenities and configurations to ensure optimal space allocation that precisely aligns with team requirements, technical specifications, and collaborative needs across the organization. 

  • Serve as the organization's primary ambassador by providing outstanding customer service to all visitors, clients, and strategic partners, demonstrating core company values and establishing positive initial impressions. 

  • Professionally address guest inquiries and resolve complaints with diplomacy 

  • Manage and direct all incoming calls and communications, ensuring appropriate routing and timely responses  

  • Act as point person for shipping and receiving operations, ensuring accurate documentation, proper handling of materials, and compliance with organizational policies and shipping regulations. 

  • Develop and maintain a comprehensive, scalable system for office supplies management that standardizes procurement, inventory tracking, and distribution processes across global locations, ensuring consistent implementation while accommodating regional variations and compliance requirements. 

Property Management 

  • Collaborate with building administration to ensure seamless implementation of safety initiatives including fire drills and evacuation planning, while proactively addressing facility maintenance needs, security standards, building access controls, and building amenity offerings 

  • Establish and nurture strategic partnerships with vendors and service providers for essential facility operation needs 

  • Act as the dedicated intermediary connecting building management resources with Informa TechTarget operational needs, systematically identifying facility improvement opportunities and developing data-driven recommendations that simultaneously enhance workplace functionality, deliver measurable cost reductions, and align with the company's long-term sustainability commitments. 

  Administrative Support 

  • Deliver exceptional customer service as an administrative point of contact, addressing inquiries professionally while ensuring timely resolution of requests and maintaining service excellence standards. 

  • Oversee all aspects of meeting space housekeeping and maintenance operations, developing and implementing comprehensive preventative maintenance schedules while ensuring prompt resolution of facility issues to consistently deliver a polished, professional work environment that meets organizational standards 

  • Deliver versatile administrative assistance in response to specific requirements identified by CoE leadership team members, HR Business Partners, and Finance Business Partners, supporting cross-functional initiatives and departmental priorities 

Qualifications

Skills & Experience 

  • Property Management: 5+ years in multinational commercial property management or commercial real-estate experience 

  • Experience in procurement and management of office supplies 

  • Technology Proficiency: MS Office 360, room booking systems, MFDs, Zoom/Team Meeting Platforms, Adobe product suite, Travel and Expense Management platforms like Concur, AmEx Travel, Navan, SAP, etc. 

  • Cross-Cultural Communication: Ability to communicate effectively across diverse cultural contexts 

  • Problem-Solving: Proactive approach to identifying and resolving workplace issues 

  • Attention to Detail: Meticulous focus on maintaining consistent global standards 

  • Non-Technical Project Management: Experience coordinating initiatives within both matrixed and siloed organization environments 

  • Organizational Skills: Ability to manage multiple tasks and prioritize effectively in a busy environment 

  • Professional Demeanor: Maintaining a positive and professional image at all times 

  • Ability to work in a fast-paced/ matrix environment 

Preferred Skills & Qualifications 

  • Security Knowledge: Understanding of access control systems and international security requirements 

  • Experience with ServiceNow or similar workflow management systems 

  • Knowledge of international health and safety regulations 

  • Bachelor's degree 

Additional Information

The pay range for this position is $58,000-$88,000 annually depending on experience.
