Job Summary
The Gene and Cell Therapy Institute (GCTI) is a newly created system-wide Institute under Mass General Brigham. The Institute will foster a world-class gene and cell therapy program that will leverage ongoing, groundbreaking scientific research efforts across the MGB system.The mission of GCTI is to bring together the community of MGB investigators which can utilize gene and cell therapy platforms to achieve their scientific and clinical goals and improve the health of patients. The Institute will differentiate itself by harnessing the exceptional strengths of clinician scientists, the large and unique patient population, and major discoveries throughout the hospital system to propel MGB as the leader in Gene & Cell therapies.
The Project Coordinator provides comprehensive administrative and operational support for the Gene and Cell Therapy Institute (GCTI). This position coordinates institute-wide programs, educational events, communications, and day-to-day office operations. The role is responsible for managing schedules, coordinating meetings and travel, supporting Institute events and communications, maintaining office operations, and serving as a liaison among leadership, staff, vendors, and external stakeholders to ensure the efficient execution of Institute activities.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
-Coordinate Institute programs, meetings, events, and initiatives to ensure timely execution and effective communication.
-Organize the annual Gene and Cell Therapy Symposium, monthly seminar series, and other Institute workshops, meetings, and special events.
-Manage calendars, schedule meetings, arrange travel, prepare materials, record meeting notes, and track follow-up actions.
-Support internal and external communications and collaborate with the MGB Marketing team on Institute communications and promotional activities.
-Monitor program activities, track progress, identify issues, and provide status updates to leadership.
-Oversee daily office operations, including supplies, equipment, facilities coordination, and maintaining an organized workspace.
-Process administrative and financial documents, including contracts, invoices, expense reimbursements, e-check requests, correspondence, and corporate credit card reconciliations.
-Assist with budget tracking and maintain accurate financial records.
-Maintain electronic and physical filing systems, personnel records, and Institute documentation.
-Manage employee timekeeping using institutional systems.
-Provide administrative support and exceptional customer service to faculty, staff, sponsors, vendors, visitors, and other stakeholders.
-Plan and support employee engagement activities
-Assist with special projects and other Institute priorities as assigned.
Qualifications
Required Qualifications :
- High school diploma required; Bachelor's degree highly preferred
- Minimum of one (1) year of relevant (i.e. project support or administrative) professional experience
Preferred Qualifications :
- Experience in project coordination, program administration, executive support, or operations, preferably in an academic, healthcare, or research environment.
- Experience coordinating scientific meetings, educational programs, conferences, or institutional events.
- Familiarity with financial and administrative systems, including timekeeping, procurement, expense management, and budget tracking.
SKILLS/ABILITIES/COMPETENCIES:
- Strong organizational and project coordination skills with the ability to manage multiple priorities and deadlines.
- Experience in administrative and office management, including calendar coordination, meeting and travel arrangements, and document management.
- Excellent written, verbal, and interpersonal communication skills with the ability to interact professionally with multiple stakeholders.
- Ability to plan, coordinate, and execute meetings, seminars, conferences, and events.
- High attention to detail with strong recordkeeping and follow-through.
- Ability to work independently in a fast-paced, collaborative environment.
- Strong problem-solving and critical thinking skills.
- Customer service mindset with the ability to build effective working relationships.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Experience with budget tracking, expense processing, and financial recordkeeping.
- Ability to handle confidential information with discretion.
- Strong time management skills and ability to adapt to changing priorities.
