The Opportunity

The Finance Administrative Assistant is a highly organized, detail-oriented professional responsible for supporting finance and operational functions across the organization. This role ensures accuracy in reporting, supports stipend processes, and collaborates cross-functionally to maintain operational efficiency. The position also provides administrative support to revenue team and health care delivery department.

Key Responsibilities

Operations & Administrative Management

  • Support the finance team with stipend processing and related administrative activities
  • Track payment requests, monitor billing status and reconcile stipend accounts in accordance with company policies and procedures
  • Respond promptly, professionally, and accurately to client and internal inquiries
  • Review, analyze and maintain operational reports related to client and caregiver activity
  • Collaborate with various internal departments to resolve billing and stipend-related issues while identifying opportunities for process improvements
  • Maintain and update department policies, procedures and documentation
  • Manage ad hoc requests and administrative tasks as needed

Finance & Reporting Support

  • Perform bookkeeping and financial data entry activities within NetSuite as needed
  • Maintain accurate and complete financial records, reports and supporting documentation
  • Assist with corporate credit card reconciliations, accrual entries and financial reporting
  • Ensure all assigned deliverables are completed accurately and within established deadlines
  • Support month-end close activities, including account reconciliations, journal entries and financial reporting

Process Improvement & Cross-Functional Collaboration

  • Identify opportunities to improve process, workflows and system efficiencies
  • Collaborate with revenue and health care delivery teams to gather information, resolve issues and ensure operational alignment
  • Support coordination of workflows across departments to ensure accuracy and timeliness of information

What we are looking for:

  • English & Spanish communication skills required 
  • Bachelor’s degree preferred; High School Diploma or GED required
  • Prior experience in an administrative, finance, or operations support role preferred (healthcare experience a plus)
  • Strong organizational skills with ability to manage multiple priorities and deadlines
  • High attention to detail and accuracy in all work
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite and other business systems (NetSuite experience preferred)
  • Ability to read and interpret contracts and financial documentation
  • Strong problem-solving skills and ability to work independently
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Ability to adapt to a fast-paced and evolving environment

Work Environment and Physical Requirements

  • Office-based work in a clean well-lit environment with fluctuating temperatures near others.
  • Client-facing field staff and community liaisons require frequent travel to client homes or community settings; ability to drive safely; work in client homes may involve varying temperatures, odors, allergens, pets, and other environmental factors.
  • Requires substantial periods of repetitive work utilizing a computer, monitor, keyboard, and mouse.
  • Requires lifting and carrying equipment and supplies weighing up to 35 pounds; requires pushing and pulling equipment and supplies weighing up to 35 pounds; requires walking and standing; requires frequent sitting more than 75% of the workday; requires the ability to negotiate stairs; requires visual acuity and manual dexterity to operate equipment.
