We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the Head of Immunology Clinical Development and the broader Immunology Clinical Development team. This role is critical in ensuring seamless operations, effective communication, and efficient coordination across a dynamic, fast-paced clinical development environment.
The ideal candidate will be a trusted partner who can anticipate needs, manage complex priorities, and represent the department with professionalism and discretion.

Main Responsibilities
Executive Support
Manage complex calendars, scheduling meetings across multiple time zones and coordinating with internal and external stakeholders
Coordinate domestic and international travel arrangements, including logistics for conferences, investigator meetings, and site visits
Prepare and process expense reports in a timely and accurate manner
Anticipate the needs of the Head of Immunology Clinical Development and proactively address issues before they arise
Handle confidential and sensitive information with the utmost discretion
Team Support & Coordination
Provide administrative support to the Immunology Clinical Development organization, including scheduling, meeting coordination, and logistics
Organize and coordinate team meetings, off-sites, and departmental events
Maintain team distribution lists, organizational charts, and shared resources
Support onboarding activities for new team members
Track and follow up on action items from leadership and team meetings
Communications
Draft, edit, and distribute internal communications on behalf of the Head and the department
Prepare presentations, reports, and correspondence for internal and external audiences
Serve as a liaison between the Head of Immunology Clinical Development and internal/external stakeholders
Manage information flow and ensure timely responses to inquiries
Operational Excellence
Support the preparation of materials for governance meetings, leadership reviews, and cross-functional initiatives
Maintain organized filing systems and documentation for the department
Identify opportunities to streamline administrative processes and improve team efficiency
Partner with other Executive Assistants across R&D and the organization to ensure alignment and best practice sharing
About You
Required Qualifications
Bachelor's degree or equivalent experience
5+ years of experience as an Executive Assistant, preferably supporting senior leaders in a pharmaceutical, biotech, or healthcare environment
Exceptional organizational skills with the ability to manage multiple priorities and meet deadlines
Strong written and verbal communication skills
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
Experience with travel coordination and expense management systems (e.g., Concur)
High level of professionalism, discretion, and confidentiality
Preferred Qualifications
Experience in clinical development, R&D, or a scientific environment
Familiarity with Workday, SAP, or similar enterprise systems
Experience supporting global teams across multiple time zones
Knowledge of pharmaceutical industry terminology and processes

The salary range for this position is:
