Why This Role Matters:

 

This position provides executive assistance and project coordination to the Gainbridge Core Leadership Team including the President of Gainbridge. This role reports to the Assistant Vice President, Strategy. In this role, the successful candidate will be tasked with complex administrative and office management responsibilities, including but not limited to, preparing reports, maintaining schedule, meeting coordination, making travel arrangements, submitting expenses, document management and other related duties as assigned.   

 

This is a unique opportunity for a highly organized and proactive professional to serve as an Executive Assistant with expanded responsibilities that bridge administrative excellence and project coordination. The ideal candidate will support not only the Gainbridge Core Leadership Team, but the full team by taking ownership of cross-functional initiatives, with a clear pathway to transition into a Project Management role as they demonstrate capability and readiness.

How You’ll Contribute:  

 

Executive Support 

  • Manage complex calendars, scheduling, and meeting coordination for company leadership 
  • Preparation of monthly invoices for approval and submit to AP for payment distribution  
  • Prepare meeting agendas, materials, and follow-up documentation 
  • Handle confidential information with discretion, including policyholder data and strategic business plans 
  • Coordinate team onsite, leadership events and travel arrangements 
  • Screen and prioritize communications, correspondence, and information requests 
  • Prepare presentations, reports, and executive-level correspondence 
  • Serve as liaison between executives and internal stakeholders 
  • Respond promptly to all incoming inquiries, analyze staff and client needs, recommend solutions using excellent judgement  
  • Close collaboration with other Administrative Assistants  

 

 Project Coordination & Management 

  • Coordinate cross-departmental projects and initiatives from conception through completion 
  • Track project timelines, deliverables, and milestones using project management tools 
  • Facilitate communication between project stakeholders and team members 
  • Prepare status reports and presentations for leadership review 
  • Assist in resource planning and budget tracking for assigned projects 
  • Identify & support process improvements and operational efficiencies in partnership with business operations 
  • Assist with board meeting preparation and documentation 
  • Support special projects assigned by the Gainbridge Core Leadership Team 

What We’re Looking For:

  • 5+ years of relevant Executive Administrative Assistance experience, preferably in the financial services or insurance industry 
  • Proficiency in Outlook, Excel, Word, PowerPoint and experience with expense management software and data share sites 
  • Proven ability to meet deadlines, handle multiple requests, and to be flexible and adapt as necessary.
  • Proactive with the ability to take initiative and work independently 
  • Strong interpersonal, communication, and problem-solving capabilities  
  • Exceptional organizational skills, time management and attention to detail 
  • Proven ability to prioritize efficiently, with impeccable follow through  
  • Dedicated, reliable, thorough, and professional, hands-on attitude  
  • Responsive to clients’ needs while balancing the priorities of the CEO   
  • Ability to adapt quickly and appropriately in accordance with the constant evolution of the company  
  • Maintain calmness in high pressure situations and maintain confidentiality   
  • Demonstrated ability to handle confidential information with integrity 
  • Professional demeanor and executive presence
